Job Description

Position Overview:

We are seeking a reliable and detail-oriented Admin Assistant to support the smooth operation of day-to-day administrative and accounting tasks. This role involves coordinating between field and head office, updating project accounts, handling documentation, and assisting with reimbursements and records.

The ideal candidate will be organized, proactive, and have basic knowledge of MS Excel and Tally. Prior experience in admin or accounts support is an advantage, but not mandatory. Freshers with good learning ability are also encouraged to apply.

Key Responsibilities:

1. Administrative Support:

  • Assist with daily administrative operations of the office.

  • Handle documentation, filing, scanning, and record maintenance.

  • Maintain and organize office supplies, stationery, and admin inventory.

  • Coordinate with the field office or other branches for data collection and communication.

  • Support in maintaining compliance with internal processes and policies.

2. Accounts Coordination:

  • Assist in updating accounts related to multiple projects.

  • Maintain accurate records of project expenditures, bills, and reimbursements.

  • Enter financial data into Tally or Excel sheets as per the guidance of the accounts team.

  • Collect, verify, and file bills or supporting documents submitted by staff.

  • Ensure timely submission of financial and administrative data.

3. Billing & Documentation:

  • Collect bills, vouchers, and supporting documents from employees.

  • Scan and store documents in digital folders with proper labeling.

  • Maintain hardcopy and softcopy documentation in an organized manner.

  • Follow up with staff or vendors for any missing documents or clarifications.

4. Travel & Reimbursements:

  • Track and process travel expense claims submitted by employees.

  • Verify bills and claims for accuracy and ensure compliance with company policy.

  • Prepare travel reimbursement summaries and get necessary approvals.

  • Coordinate with the accounts team for timely disbursement of reimbursements.

5. Internal Communication & Coordination:

  • Act as a communication bridge between field staff and the accounts/admin team.

  • Collect updates from field offices and share relevant information with management.

  • Support in coordinating meetings, calls, or data collection as required.

  • Respond to emails and queries related to admin and accounts support.

Skills Required:

  • Basic knowledge of MS Office, especially Excel (data entry, formatting, simple formulas)

  • Familiarity with Tally or willingness to learn

  • Good organizational and file management skills

  • Basic understanding of accounting terms and office systems

  • Effective verbal and written communication in English and local language

  • Ability to work with accuracy and maintain confidentiality
