Job Description

DUTIES & RESPONSIBILITIES:
Is well versed with all office procedures such as transmission of faxes, typing of letters / documents.
Is familiar with all standard operating procedures and the respective charges for all services available at the Business Centre e.g. faxes, telexes, photocopy, binding, courier and postage mail, printing of business cards and letterheads, secretarial services and rental of meeting rooms .
Is able to operate all office equipment such as photocopier, franking machine, fax machine, binding machine, overhead projector, colour printer and scanner .
Is familiar with the different software programs available in the personal computers .
Handles guests’ and hotels’ faxes promptly and accurately. Guests’ outgoing faxes must be transmitted immediately upon receipt
Check s non-listed/checked-out faxes daily and maintains a proper filing system
Handles documents and parcels for courier or airfreight service
Assists guests in mailing letters and/or parcels through the Post Office
Accepts bookings for Conference Rooms and ensures that preparations are made prior to commencement of meetings
Assists guests in placing overseas and/or conference calls. Ensures that charges are accurately posted and promptly settled
