Role Summary / Purpose:
General HR & administration activities & maintaining the office.
Essential Responsibilities:
Administration Activities :
To assist / co-ordinate / work with other executives and assure that the company objectives are achieved.
Prepare and manage correspondence, reports and documents.
Organize and co-ordinate meetings, conference, travel arrangements.
Take, type and distribute minutes of meeting, presentations.
Create meeting agendas, notifications, and follow up items.
Implement and maintain office systems.
Maintains accurate calendars, schedules, and key dates.
Maintain employee and general files.
Arrange and confirm appointments.
Organize internal and external events.
Handling company correspondence like phone, e-mail, fax, etc.
Set up and maintain filing systems.
Set up and manage work procedures.
To coordinate with all departments and prepare the MIS periodically and maintain databases, confidentially .
Comply with all the rules, regulations and the procedures of the company as notified from time to time.
HR Management:
Manpower planning and development.
Audit of the HR function.
Performance appraisal.
Office management, Work studies and performance standards.
To support HR in interviews and recruitment process with respect to subordinates requirement on getting prior permission from the management.
Ensure appropriate security for all HR-related information.
Experience in Handling Statutory Compliance like, ESI, PF, Factories Act.
Handling Employee Grievances.
Welfare and ISO
Manage the leave system, including adding new starters and removing leaves.
Recruitment:
Work closely with the HRM to support recruitment campaigns for individual roles.
Responsible for ensuring the corporate website is up to date with current jobs.
Manage the recruitment Inbox and respond to candidates in a timely manner.
Co-ordinate interviews with recruitment agencies and direct applicants for Hiring Managers and HR.
Ensure recruitment trackers are maintained and continually improved.
Hires new employees as required by line managers and introduces process improvements.
Responsible for the execution of the recruitment process, including the internal recruitment process.
Reaching the defined targets for hiring of different job families (time, costs, quality)
Full execution of the recruitment process (including job posting, phone interviewing, job interviewing, regular communication with candidates and managers) including the recruitment administration
Manages posting of job vacancies at the best performing recruitment channels (responsiveness, quality and costs)
Develops pool of internal and external talents
Explores the new recruitment channels and gives recommendations to the Recruitment Manager
Execution of the recruitment social media communication, ruled by approved Marketing and HR Marketing principles
Monitors the job market and prepares analyses and summaries of the main job market movements
Reports the progress on assigned job vacancies on the regular basis, communicates early warnings and provide the regular feedback about the performance of the recruitment process
Contacting candidates, following-up with candidates, and managing candidate pipeline.
Scheduling interviews, briefing and debriefing candidates before and after interviews.
Maintaining timely documentation of all conversations with candidates within our internal database.
Assisting in generating leads from conversations with candidates.
Presenting candidates to our management team applying high quality standards.
Posting job descriptions on job boards, and tracking posting status and results.
Induction & Integration:
Initiate the new hire checklist and process in a timely manner.
Enter new starter information on to the relevant systems.
Create personal files for all new starters and ensure that all documentation is present and completed.
Responsible for arranging induction sessions.
Request employment references for all new starters.
Send out probation reminder emails to line managers and escalate any issues to HRO when appropriate.
Training:
Co-ordinate training carried out in-house, including sending out invitations, reserving and setting up rooms, organizing lunches and collating evaluation forms.
Monitor and track training sessions for reporting purposes.
Send feedback evaluation forms after each training session.
Qualifications / Requirements:
Experience : 8 years & above
Minimum Education Qualification: MBA (HR)
Industrial Type : Manufacturing / Industrial / Production
Function Area : HR & Administration
Skills Required:
A strong English, Tamil communication is essential & Hindi (Preferable)
Ability to store and record information accurately
Excellent organization skills and oral/written communication skills a must.
Good computer related skills
Good social and interpersonal skills
Excellent interpersonal, consulting, diplomacy, and conflict-resolution skills.
Ability to work independently on projects, as team lead, and as a member of a team.
High level of initiative, strong drive to succeed.
Must be available to work a flexible work schedule.
Must have significant recruiter experience, in multiple recruiting environments
Experience in ERP is preferable.
