Job Description

Executive Assistant to the Managing Director

Position Summary:

 

Reporting directly to the Managing Director and provides executive, administrative, and development support to the Senior Leadership Team (SLT) and HR.

 

Essential/Primary Responsibilities:

 

Executive Support

 

·       Assists the MD with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings

·         Communicates with the general staff on the MD’s behalf and coordinates logistics with high-level meetings both internally and externally

·         Coordinates meetings and strategic activities as per the directions of the MD and assist the director in preparation of meetings, documents and presentations as required

·         Drafts reports, letters, proposals, prepares and coordinates oral and written communication with team members and external parties

·         Attend phone calls from clients and respond to the emails received from clients in the absence of director

·         Ensure utmost confidentiality and integrity of operations

·         Plan, organize and co-ordinate functions and special events 

·       Be responsible for compiling and maintaining travel records and vouchers

·       Answering phones and routing calls to the correct person or taking messages

·       Filing and retrieving corporate records, documents, and reports

·       Flight ticket issuance, reissuance, refund, cancellations, hotel bookings, cars bookings, travel, insurance, visa (domestic and international Ticketing) as per itinerary

 

HR Support

·       Administratively supports group HR (recruiting support and other administrative tasks), drafts emails as directed

 

Management Liaison

·       Assisting in scheduling, attending meetings, represents the MD in designated meetings as required

·       Assists in coordinating the agenda of senior management team meetings

·       Prepares minutes of the meetings and designates and follows up on assigned action items

·       Manage business travel, making arrangements for employees and executives

·       Performing office duties that include ordering supplies and managing a records database

·       Provide general administrative support

·       Process travel documentation

·       Arrange visitor accommodations

·       Performs other duties as assigned

 

 

Skills & Abilities:

     ·       Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

       

·            Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external parties

·       Proficiency in Windows, including MS Word, EXCEL and PowerPoint

·       Ability to conduct research and present data in a succinct and well-written manner

·       Ability to work independently and with professional discretion

·       Excellent writing, editing, grammatical, organizational, and research skills

·       Ability to work with a broad range of people including Board members, colleagues of the MD and staff, and others

·       Excellent management, time-management, and problem-solving skills

 

Working Conditions/Other Data:

·       Occasional travel may be involved.
