Job Description
Job Summary
We are seeking an experienced and detail-oriented Senior Payroll Executive with 9+
years of hands-on experience in managing end-to-end India payroll operations. The role
requires strong expertise in payroll processing, statutory compliance, payroll
accounting, banking activities, employee settlements, and offboarding processes. The
ideal candidate should have the ability to manage payroll independently while ensuring
statutory compliance, accuracy, confidentiality, and timely delivery.
Key Responsibilities
End-to-End Payroll Processing
Manage and process monthly payroll for employees across multiple
entities/locations in India.
Ensure accurate processing of earnings, deductions, reimbursements,
incentives, bonuses, and statutory components.
Validate payroll inputs including attendance, leave, overtime, full & final
settlement, new joiners, exits, and salary revisions.
Perform payroll reconciliation and ensure timely payroll closure.
Coordinate with HR, Finance, Treasury, and external vendors for payroll-related
activities.
Payroll upgrade and automation:
Take ownership of payroll transitions, including automation, planning, execution,
testing, and stabilization activities.
Challenge existing processes and identify opportunities to improve efficiency,
accuracy, and employee experience.
Influence stakeholders and drive alignment on payroll-related projects, process
changes, and compliance requirements.
Support payroll system enhancements, automation initiatives, and transformation
projects.
Payroll Banking Activities
Prepare salary bank transfer statements/files and coordinate with banks for
salary disbursement.
Ensure timely salary payments and resolve bank/payment-related issues.
Process vendor payments related to payroll compliances and employee benefits.
Coordinate with treasury teams for salary funding and statutory remittances.
Statutory Compliance
Handle end-to-end statutory compliances including Provident Fund, ESIC, PT,
Income Tax, LWF, NPS, etc.
Ensure timely filing of statutory returns and payment of challans.
Liaise with government authorities and auditors during assessments, notices,
and audits.
Stay updated with labour laws, payroll regulations, and compliance requirements.
PF & Other Statutory Activities
Manage PF portal activities including UAN generation, KYC updates, transfers,
withdrawals, and claim validations.
Handle employee queries related to PF, ESIC, tax, and payroll.
Ensure statutory reconciliations are completed accurately on a monthly basis.
Payroll Accounting & Reconciliation
Prepare payroll journals and coordinate with finance for accounting entries.
Reconcile payroll GLs, statutory payable accounts, and employee-related
provisions.
Support month-end and year-end closing activities.
Prepare payroll reports, MIS, and audit schedules.
Offboarding & Full and Final Settlement
Manage employee separation process and ensure timely processing of full & final
settlements.
Calculate leave encashment, gratuity, recovery deductions, and statutory
settlements.
Coordinate exit documentation and compliance closure.
Audit & Compliance Support
Support internal, statutory, labour, and tax audits.
Maintain payroll records and documentation for audit readiness.
Ensure compliance with company policies and statutory requirements.
Process Improvement
Identify payroll process improvement opportunities and implement best practices.
Support payroll automation, migration, and system implementation initiatives.
Prepare SOPs and process documentation where required.
Quarterly salary eTDS returns
Prepare and file quarterly salary eTDS returns on the Income Tax portal within
statutory timelines.
Download and validate Consolidated (Conso) files from the TRACES portal.
Generate and download Form 16 from TRACES and coordinate issuance to
employees.
Handle manual eTDS return preparation and filing using RPU/FVU utilities.
