Job Description
- As a personal assistant you'll be helping out your boss with whatever they need, from managing a diary to typing up reports or planning meetings.
- Basically, you help organise their life so they'll always know where they need to be and what they're doing.
- Your duties as a personal assistant will largely depend on your experience, the length of time you’ve worked in this company and the level of trust you have with your boss.
- Your responsibilities and duties will increase with time.
- Lots of responsibility, a variety of jobs and being awarded high levels of trust within the company.
- While you'll be given some amazing and responsible jobs, there's still some menial ones to be done. Working as a PA means you can go from writing reports to being asked to make the coffee in the blink of an eye.
- Initially, you will be responsible for :
- managing diaries and organising meetings and appointments.
- Organising events and conferences
- reminding the manager/executive of important tasks and deadlines
- typing, compiling and preparing reports, presentations and correspondence
- managing databases and filing systems
- implementing and maintaining procedures/administrative systems
- carrying out background research and presenting findings;
- Producing documents, briefing papers, reports and presentations;
- carrying out specific projects and research;
- responsibility for accounts and budgets;
- taking on some of the boss's responsibilities and working more closely with management;
- deputizing for the manager, making decisions and delegating work to others in the manager's absence;
- reminding the manager/executive of important tasks and deadlines
- Preparing presentations and documents for meetings and seminars.
- Later on, following duties will add in your responsibility list :
- acting as a first point of contact: dealing with correspondence and phone calls
- controlling access to your boss.
- booking and arranging travel, transport and accommodation
- liaising with staff, suppliers and clients
- collating and filing expenses
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
- Organising and attending meetings and ensuring the manager is well prepared for meetings;
- Being involved in decision-making processes.
As a PA, you are expected to possess following skills :
- Discretion and trustworthiness: you will often be party of confidential information
- Flexibility and adaptability
- Good oral and written communication skills
- Organisational skills and the ability to multitask
- The ability to be proactive and take the initiative
- Tact and diplomacy
- Communication skills
- Very good practical Knowledge and experience on MS word, PowerPoint, Excell.
- Working knowledge of photoshop and coreldraw will be an add on.
- Must possess good internet knowledge and social media skills
- A degree in IT or computers will be appreciated
- Must be able to curate and write articles and contents, given references and guidelines.
- Interest in Hacking and security will be appreciated.
- Must be willing to travel within India and abroad
