Job Description

  • This is a job role for an Executive Assistant to Director (Operations & HR).
  • The job role shall be extremely challenging & shall require varied skills. 
  • The role shall essentially involve time and daily management, scheduling of meetings, correspondence, and note-taking. 
  • The role shall be varied, such as answering phone calls, taking notes, scheduling meetings, emailing, texts etc.
  • In above context, the assistant shall assist with a variety of management tasks, including assisting & monitoring the Director's running projects, their procurement and handling client relations.
  • The job shall also involve assisting in preparation of presentations, documentation related to finances of local & outstation projects such quotations & bills, for running errands, arranging travel and arranging activities and essentially ensure that everything runs smoothly as per given directions.
  • The assistant shall often act as the director's first point of contact with people from both inside and outside the organization and the tasks and needed skills shall divided into two fields of technical skills and personal skills.

Tasks may include but are not limited to:

  • Monitoring office systems, including data management and filing.
  • Managing & arranging travel and accommodation;
  • Taking minutes, notes or dictation at meetings or to provide general assistance during presentations;
  • Screening phone calls, inquiries and requests, and handling them when appropriate;
  • Meeting and greeting visitors at all levels of seniority;
  • Organizing and maintaining diaries and making appointments;
  • Dealing with incoming email and post, corresponding on behalf of the director;
  • Carrying out background research and presenting findings;
  • Producing documents, briefing papers, reports and presentations;
  • Organizing and attending meetings and ensuring the manager is well prepared for meetings;
  • Liaising with clients, suppliers and other staff.
  • Carrying out specific projects and research;
  • Responsibility for personal accounts & reimbursement.
