Position Overview
This role ensures that Global Sourcing and Procurement Services (GS&PS) continuously improves best practice management and reporting that will enable regional teams and businesses to ensure that Ariba’s non-catalog orders are up to date and accurate. Purchasing Agents play a critical role, as they may have the first interaction with the client and must represent GS&PS in a positive and friendly manner. Prior experience in supporting or servicing clients and providing assistance and/or guidance on policies/procedures is required.
Purchasing Agents will be required to build an excellent rapport with Sourcing Managers in order to understand and document the various buying mechanisms within different commodity groups.

Specific duties include: (1) non-catalog requisition processing including compliance and policy review (2) Liaise with various inter departments as well as Sourcing Managers for procurement of goods & services (3) maintain procedural manuals and process flows (4) customer service (5) Any other duties as directed by supervisor.

Other Skill sets required:-
- Ability to master the functionalities of the Ariba Procurement modules
- Ability to compile, develop mechanisms and report metrics and SLA's
- Ability to analyze data and translate thoughts into report results
- Ability to provide fact based advice based on the development of market and industry analysis. For example, identifying repeat buy non-catalog items that could be moved to a catalog
- Ability to work independently and accurately assesses client need and commodity selection
- Manages Intake method queues – either Ariba based or email (web form) based, using FIFO methodology
- Create Procurement Workspaces in the Ariba Sourcing tool
- Perform “quoting” function for client
- Translates simple intake form into Ariba Purchase Requisition
- Proficient in the use of Ariba, MS Excel (advanced formulas, Pivot tables, etc.), MS Office, Outlook, TBD.
- Captures ad-hoc demand and reports out findings to Sourcing Managers
- Ability to ensure non-catalog orders are compliant
- Ability to find creative and innovative ways to solve issues
- Analytical mindset who can predict what a user may need in a report and interpret that into the mining and cleansing of the data
- Innate aptitude to improve data to add the most value to the organization
- Conversant in procurement and industry specific commodities
- Quick learner, must be able to understand and grasp processes, concepts and follow procedures
- Extensive client focused position. Must be able to speak and write clearly and professionally when responding to clients
- Ability to manage the quality, accuracy, and consistency of work products
- Ability to resolve issues and conflicts and prioritize work requests
- Solid problem solving skills and attention to detail to identify, investigate and resolve anomalies in the data
- Works will in a high pressure, SLA driven environment whereby ensuring that requests are being completed in an accurate and timely fashion
- Identifies on a monthly basis which BU’s and individuals need training on how to create a catalog and non-catalog request in Ariba
- Assesses web form or Ariba purchase requisition to determine if submission has adequate information to source based on playbook directives
- Ability to understand procurement request and determine if good or services is capable of being leveraged against an existing contracts
- Ensure terms and pricing is correct for buys against contracts
- Ability to determine if a good or services can be fulfilled by an items within AIG’s Ariba catalogs
- Ability to handle tactical problem solving and identify strategic issues as needed
- A critical thinker who makes decisions and takes action to solve a problem for a team or a unit in the organization
- Very detail oriented with the ability to work well in a dynamic and rapidly changing environment
- Driven to meeting and exceeding expectations
- Understanding of procurement-related financial analyses
- Excellent communication skills (verbal, written, and presentation) are needed to ensure sourcing strategies and tactical decisions are based on facts and data. English proficiency
- Follow up with tier 3 (GS&PS Procurement) to confirm conclusions and recommendations of refined data
- Able to collaboratively engage others in a commitment to goals and objectives
- Extensive interaction with the AIG Sourcing Managers to build a strong relationship and understand their requirements
- Work closely with both the Catalog creation team and Contract Admin team and sourcing events team
- Must be able to process and resolve client Requests in a very professional, efficient and timely manner.
- Bachelor’s Degree or equivalent with minimum 5-6 years of experience
- Highly English proficient
- Complete learning curve of 3 months, with OTJ training
- General procurement and business skills
- Proficiency in Ariba & Excel
