Key Responsibilities:
1. Sales Support and Coordination:

Coordinate with sales team members to ensure timely and accurate processing of customer orders.

Monitor sales team schedules and appointments, helping to organize meetings with clients or stakeholders.

Act as a liaison between the sales department and other departments such as logistics, finance, and customer service.

Assist in preparing sales proposals, quotations, and presentations.

Support sales representatives in follow-ups, order tracking, and lead management.
2. Customer Communication:

Serve as a point of contact for customers with queries about products, orders, deliveries, or post-sales support.

Ensure prompt and professional responses to customer inquiries via phone, email, or chat.

Follow up with clients to confirm order details, delivery timelines, and satisfaction.

Maintain a high standard of customer service to enhance customer loyalty and satisfaction.
3. Order Management and Documentation:

Process sales orders, quotations, and invoices in the internal system or ERP software.

Verify customer details, pricing, and stock availability before confirming orders.

Track shipments and coordinate with logistics or dispatch teams to ensure timely delivery.

Maintain up-to-date and accurate records of orders, invoices, delivery notes, and returns.
4. Reporting and Data Management:

Prepare sales reports, including daily, weekly, and monthly summaries of sales activity, revenue, and forecasts.

Maintain and update CRM (Customer Relationship Management) databases with lead and client information.

Analyze sales data to identify trends, delays, or discrepancies and report findings to management.

Assist in budgeting and performance reviews by providing relevant sales data.
5. Team Coordination and Internal Support:

Support sales managers and executives with administrative tasks such as preparing documents, scheduling meetings, and organizing events.

Organize training sessions, workshops, or team-building activities for the sales department.

Coordinate internally with the marketing department for sales campaigns or promotional activities.

Ensure that the sales team has the necessary tools and resources, such as brochures, samples, and digital marketing materials.
Required Skills and Competencies:
Administrative and Technical Skills:

Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with CRM software (e.g., Salesforce, Zoho).

Strong data entry, spreadsheet, and reporting abilities.
