Job Description
It is difficult to draw up a complete profile for a Housing Society Office, as the profile mainly depends on the situation and circumstances, no ten or twenty tasks can complete the job profile for a Housing Society Office. However, the following few important tasks could be pointed out.
Accounts Related- Preparation of vouchers, receipts, bank pay in slips, maintenance of petty cash book, maintenance of collection register, formation of budgetary control systems, maintenance of Investment Register, managing investments (Fixed Deposits), renewal of investments on maturity etc.
- Supervising the agencies like Security, Housing Keeping, Gardner staff etc. appointed by the Society.
- Maintenance of the attendance Register, allotment of work to various staff mentioned above, ensuring that the staff carry out their duties to the satisfaction of the Society Management and further, to the satisfaction of the society as a whole.
- Keeping a checklist for the work done by the various staff, in particular the cleaning staff (House Keeping) and the security.
- A Good Manager ensures that the members’ primary needs are promptly met as soon as they crop up, and not till the residents to come up to them with their complaints.
- The residents look up to the Society Management to meet and resolve his problems without much loss of time.
- Electricity, Water, Lifts, Security, Cleanliness are the areas where the members look forward to the Society Management to ensure continuous, uninterrupted and efficient supply.
- Where there is likelihood of temporary disruptions, keeping the members informed through a Circular.
- Keeping the Managing Committee informed of the various statutory requirements to be met. Updating all the statutory registers.
- All banking operations, Payments of all bills – like electricity, water, Municipal Tax etc, be paid in time which would invite penalty, otherwise.
- Liaison works with local authorities such as RELIANCE INFRASTUCTURE, BMC. Registrars’ office, Advocates, Auditors, Inspectors etc also need to handled with alacrity.
