Job Description
Job Summary:
We are seeking a dedicated and detail-oriented Accountant to manage key financial tasks including preparing quotations, billing, maintaining accounts, and ensuring smooth payment follow-ups. The ideal candidate can be a fresher or someone with prior accounting experience, with a keen interest in learning and contributing to the financial operations of the organization.
This role comes with a flexible work environment, a dedicated cabin, and routine day shifts. The accountant will handle customer follow-ups regarding pending payments, generate bills (including proforma and e-way bills), assist in payment entries, and support compliance with standard documentation such as bills of entry.
Key Responsibilities:
1. Quotation Preparation and Billing:

Prepare and send accurate quotations to clients based on company pricing and customer requirements.

Generate tax invoices, proforma invoices, and commercial invoices as required.

Ensure billing is in line with purchase orders and agreed terms.

Update and maintain billing records for internal tracking.
2. Payment Follow-Up and Collection:

Track outstanding payments from clients and proactively follow up via calls, emails, or visits.

Maintain updated records of pending amounts and expected due dates.

Coordinate with the sales or dispatch team to ensure no delays in billing and collections.

Regularly report to management on receivables and follow-up status.
3. Accounting and Data Entry:

Record daily accounting transactions including sales, purchases, receipts, and payments in accounting software (Tally, Excel, or similar tools).

Maintain ledgers for customers and vendors.

Support reconciliation of bank statements and accounts periodically.
4. Documentation and Compliance:

Prepare and manage E-way Bills for transportation of goods.

Maintain Bill of Entry records for import transactions and coordinate with logistics or CHA agents if required.

Ensure proper filing of invoices and documents for audit and statutory compliance.

Assist in GST entry, return preparation, and TDS where needed (training can be provided for freshers).
5. Reporting and Administrative Tasks:

Generate and share reports for sales, receivables, and billing on a weekly/monthly basis.

Support monthly and annual financial closing by providing data and summaries.

Work closely with the internal team to resolve any discrepancies in billing or payments.

Maintain an organized filing system and handle basic office-related accounts.
