Job Description
Key Responsibilities:
1. Assessing Financial Records and Analyzing Data:
-
Regularly review and assess financial records to ensure accuracy, completeness, and compliance with accounting standards.

Analyze financial data to identify trends, discrepancies, or areas of concern and provide recommendations to improve financial health.

Prepare financial statements, including balance sheets, profit and loss statements, and cash flow statements.
2. Managing Tax and Accounting Records:
-
Maintain accurate records for all tax-related documents, including income tax, GST, and other statutory filings.

Ensure that all accounting records are up to date, organized, and comply with applicable accounting standards and tax laws.

Prepare and file tax returns within the prescribed deadlines.

Provide support in tax audits and prepare any documentation required by tax authorities.
3. Managing Bank Account Ledgers:
-
Maintain accurate and up-to-date bank account ledgers and perform regular reconciliations.

Track all bank transactions and ensure that all discrepancies are identified and resolved promptly.

Ensure that all bank deposits and withdrawals are accurately recorded.
4. Vendor Management and Invoice Verification:
-
Identify, locate, and verify vendors, ensuring their legitimacy and compliance with payment terms.
-
Verify and validate invoices from vendors for accuracy before processing payments.
-
Ensure proper documentation is maintained for all transactions with vendors.

Handle vendor inquiries regarding payments and resolve discrepancies.
5. Knowledge of Statutory Compliance:
-
Ensure compliance with statutory regulations related to Employees’ State Insurance (ESI) and Provident Fund (PF).
-
Calculate and submit ESI and PF contributions for employees in accordance with legal requirements.
-
Provide regular reports to management regarding ESI and PF status, contributions, and any changes in legislation.
6. General Accounting and Finance Functions:
-
Assist with the preparation of annual budgets and financial forecasts.
-
Manage petty cash and ensure proper documentation for all transactions.
-
Oversee accounts payable and receivable processes, ensuring timely payments and receipts.
-
Support internal and external audits by preparing necessary reports and documents.
7. Communication and Interaction with Faculty and Stakeholders:
-
Communicate financial information clearly and effectively with other departments, including faculty, to ensure understanding and compliance with financial policies.

Collaborate with faculty and staff to process reimbursements, grant allocations, and other financial transactions.
-
Serve as a point of contact for any financial queries from staff and vendors.
8. Record Keeping and Documentation:
-
Ensure that all financial records and documents are properly filed and stored in both digital and physical formats.

Maintain records of all financial transactions, including receipts, payments, and transfers, for audit purposes.

Organize and store financial records in compliance with company policies and relevant legal regulations.
