Job Description
An Accounting Executive is a key member of the finance and accounts team, responsible for managing day-to-day financial transactions, handling accounts payable and receivable processes, maintaining accurate records, and ensuring compliance with company policies and accounting standards. This role demands a keen eye for detail, strong organizational skills, and the ability to work collaboratively with vendors, clients, and internal teams.
The Accounting Executive ensures smooth financial operations by managing cash flow, reconciling discrepancies, and supporting reporting activities. This position is suitable for individuals who are analytical, detail-oriented, and interested in building a career in finance and accounting.
Key Responsibilities
1. Accounts Payable Management

Process vendor invoices accurately and ensure timely payments.

Verify invoice details with purchase orders and contracts before approval.

Maintain strong relationships with vendors and address any billing disputes or payment issues.

Track outstanding payables and manage payment cycles in line with company policies.
2. Accounts Receivable Management

Generate and issue invoices to clients/customers on time.

Track collections and follow up on overdue accounts to ensure timely settlements.

Reconcile customer accounts regularly to maintain accuracy.

Coordinate with the sales and customer service teams for smooth payment collection.
3. Reconciliation & Record Maintenance

Perform regular reconciliation of bank statements, ledgers, and accounts.

Investigate and resolve discrepancies in financial records.

Ensure all financial transactions are recorded correctly and systematically.

Maintain up-to-date accounting records in accounting software (Tally, SAP, QuickBooks, etc.).
4. Financial Reporting & Compliance

Assist in preparing monthly, quarterly, and annual financial reports.

Provide accurate data for management decisions and budgeting.

Ensure compliance with statutory requirements such as GST, TDS, and other tax regulations.

Support internal and external audit processes by providing necessary records and documents.
5. Vendor & Client Coordination

Communicate with vendors regarding billing, payments, and reconciliations.

Handle client queries related to invoicing and payment settlements.

Maintain professional relationships with stakeholders to foster trust and transparency.
6. Collaboration with Internal Teams
-
Work closely with the finance manager and other team members to streamline processes.

Support HR in payroll-related accounting if required.

Assist management in financial planning and budgeting activities.
Required Skills & Competencies

Accounting Knowledge: Strong understanding of accounting principles, AP/AR processes, and reconciliations.

Technical Skills: Proficiency in accounting software (Tally ERP, QuickBooks, SAP, or Zoho Books) and MS Excel.

Analytical Ability: Capability to identify errors, analyze financial data, and resolve discrepancies.
