Job Description

Introduction

We are seeking a detail-oriented, organized, and proactive Accounts Administration Assistant to join our finance and administration team. The ideal candidate will assist in managing daily accounting operations, financial records, and administrative tasks, ensuring smooth coordination between departments. This role requires basic accounting knowledge, familiarity with banking procedures, and a strong understanding of TDS, reconciliation, property management, and payroll.

An Accounts Administration Assistant plays a crucial role in maintaining accurate financial data, supporting audits, coordinating with vendors and clients, and managing day-to-day office operations. If you have a strong foundation in accounting principles, excellent organizational skills, and the ability to handle multiple tasks effectively, this role offers a great opportunity for career growth.

Key Responsibilities

1. Accounts & Bookkeeping

  • Manage day-to-day bookkeeping and maintain accurate financial records.

  • Record payments, receipts, and journal entries in the accounting system.

  • Monitor outstanding balances and ensure timely follow-up with debtors.

  • Handle creditor payments and coordinate with vendors for reconciliation.

2. TDS & Tax Compliance

  • Assist in TDS calculations, deductions, and returns filing.

  • Maintain records of GST, TDS, and other statutory payments.

  • Ensure compliance with government regulations and deadlines.

  • Coordinate with the finance team to prepare tax-related documents.

3. Bank & Financial Reconciliation

  • Perform monthly bank reconciliations to ensure accuracy of statements.

  • Reconcile accounts with debtors, creditors, and other stakeholders.

  • Handle fund transfers, cheque deposits, and online banking operations.

  • Assist in preparing financial reports for management review.

4. Payroll & Employee Settlements

  • Assist in salary preparation and ensure timely disbursements.

  • Maintain employee records related to attendance, incentives, deductions, and reimbursements.

  • Process PF, ESI, and other statutory contributions.

  • Support HR and accounts teams during employee onboarding and exit formalities.

5. Property & Asset Management

  • Maintain records of company properties, rentals, and leases.

  • Track property-related payments, maintenance costs, and agreements.

  • Liaise with vendors, property managers, and service providers.

  • Ensure compliance with property tax, utility bills, and insurance renewals.

6. Administrative & Coordination Support

  • Assist with preparing reports, maintaining documents, and filing records.

  • Support senior management in decision-making with accurate data and MIS reports.

  • Coordinate between the accounts team, vendors, clients, and banks.

  • Assist in organizing internal meetings and maintaining smooth office operations.

Required Skills & Competencies

1. Technical Skills

  • Basic understanding of accounting principles and financial reporting.

  • Knowledge of TDS, GST, and statutory compliance.

  • Proficiency in MS Office (Excel, Word, PowerPoint).

  • Hands-on experience with Tally ERP, Zoho Books, QuickBooks, or similar accounting software.

2. Analytical & Organizational Skills

  • Strong numerical accuracy and attention to detail.

  • Ability to analyze data and identify discrepancies in accounts.

  • Good time management and multitasking skills.

3. Communication & Coordination Skills

  • Clear and effective written and verbal communication.

  • Ability to coordinate with banks, vendors, auditors, and internal departments.

  • Maintain professionalism while dealing with clients and financial institutions.
