Job Description
We are looking for an Accounts Administration Assistant to perform daily accounting tasks. Accounts Administration Assistant responsibilities include managing Payroll, entering financial transactions, creating invoices, and collection.

Key Responsibilities
Accounts Payable and Receivable
-
Process supplier invoices, credit notes, and staff expense claims with accuracy and in a timely manner.

Match, batch, and code invoices, ensuring proper authorization and cost allocation.

Set up and maintain supplier accounts, ensuring details are up to date.

Reconcile vendor statements and resolve discrepancies promptly.

Assist with issuing customer invoices and follow up on overdue accounts.

Record incoming payments and allocate receipts accurately in accounting software.
Bank and Account Reconciliation

Reconcile bank statements with internal financial records on a regular basis.

Investigate and resolve any discrepancies or unusual items.

Maintain petty cash records and prepare reconciliations for review.

Assist in the reconciliation of credit card transactions and employee expense reports.
Administrative and Clerical Support

Maintain orderly financial filing systems, both electronic and physical, ensuring documents are easily accessible and securely stored.

Support the finance team with data entry, photocopying, scanning, and document preparation.

Assist with the preparation and distribution of financial reports, invoices, statements, and other documents.

Respond to queries from suppliers, customers, and internal staff regarding financial transactions and administrative matters.

Schedule meetings, prepare agendas, and take minutes for finance-related meetings if needed.
Support for Financial Reporting

Assist in gathering data and supporting documentation for monthly, quarterly, and annual financial reports.

Help prepare information required for external audits or financial reviews.

Provide support during budget preparation and end-of-month reporting cycles.
Compliance and Process Improvement

Ensure financial and administrative processes comply with internal policies and external regulations.

Assist in maintaining up-to-date procedural documentation for accounting processes.

Contribute to process improvement initiatives aimed at streamlining administrative or accounting tasks.

Maintain confidentiality regarding company financial information at all times.
