Accounts Assistant
Job Description
Key Responsibilities:
1. GST Invoice Preparation and Billing:
-
Create GST-compliant invoices using Tally or other invoicing systems.
-
Verify purchase orders (POs) and sales orders before billing.
-
Ensure accurate application of CGST, SGST, IGST, and other applicable charges based on state-wise rules.
-
Maintain records of all invoices raised for tax filing and audit purposes.
2. Tally Accounting Entries:
-
Perform day-to-day data entry in Tally ERP including sales, purchases, receipts, payments, journal entries, and bank reconciliations.

Maintain updated and accurate ledgers for customers, vendors, and expenses.

Update inventory in Tally based on dispatch and order movement.
3. GST Filing Assistance:
-
Assist in monthly GST computation and preparation of GSTR-1, GSTR-3B, and reconciliation reports.

Maintain supporting documents such as bills, vouchers, and challans for GST filing.
-
Coordinate with senior accountants or consultants for timely GST return submission.
4. Order Management:
-
Take orders over the phone or email and enter them into the system accurately.

Confirm order details with customers, including product specifications, quantity, and delivery dates.

Communicate with the internal dispatch team to ensure timely shipment of goods.
5. Dispatch Coordination:
-
Prepare and print packing lists, invoices, and delivery challans.

Coordinate with courier or logistics companies for pick-up and dispatch arrangements.

Track dispatch status and share updates with customers as needed.

Maintain records of all outgoing shipments and support stock maintenance.
6. Customer Support (Phone & Office):
-
Attend incoming customer calls regarding orders, payments, and basic product queries.
-
Resolve customer concerns politely and escalate issues when necessary.

Provide after-sales support for invoice copies, product returns, or document requirements.
7. General Office Support:
-
Maintain files, records, and documentation related to accounting and dispatch.
-
Help manage office supplies and petty cash (if required).

Support audit processes by preparing vouchers, ledgers, and other requested documents.
