Job Description

We are looking for an Accounts Assistant Office Administrator to perform daily accounting tasks. Accounts Assistant Office Administrator responsibilities include managing Payables and reimbursements, entering financial transactions, creating invoices, and collection. Ultimately, you will help our Accounting department run smoothly, ensuring transparency and efficiency in all transactions.

  • Customer Correspondence
  • Banking Correspondence
  • Foreign Remittance & Interest Calculation
  • Accounts Finalization 

Key Responsibilities

Accounting and Financial Support:

  • Invoice Processing and Record Keeping:
    Process and record accounts payable and receivable transactions accurately. Ensure that all invoices are recorded and filed according to company policies and relevant accounting standards. Ensure timely payments to vendors and follow up on outstanding receivables.

  • Bank Reconciliation:
    Assist in reconciling bank statements, identifying discrepancies, and ensuring that all financial transactions are correctly recorded. Prepare bank reconciliation reports for review by senior finance staff.

  • Data Entry and Accounting Systems Maintenance:
    Enter financial data into accounting software or spreadsheets, ensuring accuracy and compliance with accounting standards. Maintain and update accounting records, including general ledger entries, as necessary.

  • Assist with Payroll Processing:
    Support the payroll function by verifying employee hours, calculating pay, and ensuring that all payroll-related documentation is accurate. Process payroll on a timely basis and ensure all deductions, bonuses, and benefits are correctly recorded.

  • Petty Cash Management:
    Manage the company’s petty cash fund, ensuring it is accurately maintained and any petty cash disbursements are recorded properly. Regularly reconcile petty cash and ensure it is replenished as needed.

  • Expense Management and Reporting:
    Monitor employee expenses and process reimbursement requests, ensuring compliance with the company's expense policies. Assist in preparing reports on financial activities, highlighting key metrics and variances.

  • Tax Compliance Assistance:
    Assist in preparing VAT, GST, or other tax filings and ensure that tax payments and related filings are submitted on time. Assist in gathering necessary documentation for audits.

Office Administration and Support:

  • Document Management:
    Organize and maintain office files, records, and documentation, both physical and digital. Ensure that confidential financial records are securely stored and easily accessible when needed. Assist with filing of contracts, tax documents, and vendor agreements.

  • Scheduling and Coordination:
    Provide general administrative support, including scheduling meetings, coordinating office activities, and managing calendars for team members. Assist with arranging travel, meetings, and other logistics for the office staff.

  • Phone and Email Management:
    Answer phone calls and manage email correspondence related to accounting or general office inquiries. Handle client, vendor, and internal communications, providing relevant information or redirecting inquiries to the appropriate personnel.

  • Office Supplies and Inventory Management:
    Monitor office supply levels and maintain inventory. Ensure that office supplies, including stationery and equipment, are well-stocked and ordered on time. Work with vendors to ensure supplies are delivered in a timely and cost-effective manner.

  • Filing and Archiving:
    Ensure the safe and systematic archiving of documents for legal and operational purposes. Manage physical and electronic filing systems to ensure documents are accessible and up to date.

  • Support for Office Staff:
    Provide administrative support to other departments as needed, including preparing reports, creating presentations, and coordinating inter-departmental tasks. Assist the office manager with organizing office events or meetings.

Compliance and Reporting:

  • Compliance Monitoring:
    Ensure that all financial processes and office activities are compliant with company policies, legal regulations, and accounting standards. Assist in monitoring regulatory requirements and ensure all necessary reports are submitted on time.

  • Assist in Audits:
    Provide administrative support during audits, including gathering relevant documentation and preparing files for review. Assist in organizing and sorting documentation required by auditors.

  • Monthly Financial Reporting Assistance:
    Assist the finance department in preparing monthly financial statements, tracking expenses, and preparing financial reports for management review.
