Job Summary:
We are seeking a highly organized and detail-oriented Accounts Assistant Office Administrator to support our finance and administrative departments. This is a dynamic role that combines tasks in both accounting and office management. You will be responsible for assisting with day-to-day accounting functions, maintaining office systems, coordinating administrative duties, and ensuring smooth operations within the office. The ideal candidate will have excellent organizational skills, attention to detail, and a strong ability to manage multiple tasks.
Key Responsibilities:
1. Accounts Assistance:

Assist with maintaining financial records, including accounts payable and receivable.

Prepare invoices, purchase orders, and process payments.

Handle petty cash management and record transactions.

Reconcile accounts and bank statements on a monthly basis.

Support in the preparation of monthly financial reports and budgets.

Assist in preparing tax returns, filing, and any compliance-related activities.

Maintain and update financial data in accounting software (e.g., Tally, QuickBooks, etc.).
2. Administrative Support:

Perform day-to-day office management tasks, such as answering phone calls, emails, and handling office correspondence.

Manage office supplies and inventory, ordering new stock when necessary.

Coordinate meetings, maintain schedules, and assist with travel arrangements for staff as required.

Assist with filing, data entry, and document management.

Handle incoming and outgoing mail and packages.

Ensure the office is tidy, well-organized, and that equipment is in working order.
3. Coordination and Communication:

Coordinate with vendors, suppliers, and service providers for payment queries and administrative tasks.

Assist in communication between internal teams and departments to streamline administrative processes.

Maintain effective communication with management, employees, and external clients.

Assist in coordinating staff events or meetings.
4. Record Keeping and Filing:

Maintain organized files and records of financial documents, invoices, receipts, and other accounting-related paperwork.

Ensure compliance with record-keeping policies, internal controls, and audit standards.

Manage both physical and electronic filing systems for easy access and retrieval of documents.
5. General Office Support:

Help maintain the office space by overseeing cleaning and maintenance tasks.

Ensure the office environment is safe and compliant with health and safety regulations.

Support team members with miscellaneous office tasks as needed.
