Job Summary:
We are looking for a dedicated and organized Accounts Assistant Office Administrator to join our finance team. This role combines accounting and administrative duties, ensuring smooth financial operations and effective office administration. The ideal candidate will be responsible for maintaining accurate financial records, processing journal entries, tracking payments, handling vendor communications, and supporting the team with various accounting tasks.
This position requires someone with a keen eye for detail, strong organizational skills, and the ability to work independently and as part of a team.
Key Responsibilities:
1. Accounting Document Management

File and maintain accounting documents and records in an organized manner, ensuring quick access for internal and external audits.

Ensure proper categorization of financial documents and receipts according to company policy.

Maintain and update accounting records to reflect transactions accurately.
2. Data Entry and Bookkeeping

Assist in entering data into accounting software and spreadsheets for bookkeeping purposes.

Help prepare and process journal entries for various transactions, ensuring accuracy and completeness.

Assist with reconciling accounts and identifying discrepancies.
3. Vendor and Invoice Management

Communicate with vendors to ensure timely receipt of tax invoices and resolve any discrepancies or issues in a professional manner.

Track and follow up on pending payments and overdue invoices, ensuring payments are made on time.

Liaise with the internal accounts team regarding invoice and payment-related queries to resolve issues promptly.
4. Banking and Payment Processing

Prepare cheques, handle deposits/withdrawals, and assist with basic banking tasks like bank reconciliation.

Process payments and ensure that all financial transactions are recorded accurately and in a timely manner.

Assist with cash flow management by monitoring outgoing payments and ensuring that due payments are settled within deadlines.
5. Audit Support

Support auditors by providing required data and documentation during audits and year-end procedures.

Assist in preparing schedules and financial statements requested by auditors.
6. Administrative Support

Handle day-to-day office administration tasks, ensuring that finance-related documents and processes are managed efficiently.

Maintain office supplies and coordinate with vendors for purchases as required.

Assist the office administration team in managing correspondence, filing, and other clerical duties.
7. Ad-Hoc Finance and Admin Tasks

Assist with other finance-related tasks, including preparing financial reports, reconciling petty cash, and supporting general administrative functions.

Perform general office administration tasks such as answering phone calls, taking messages, and handling inquiries.
Required Skills and Competencies:

Strong knowledge of basic accounting principles and procedures.

Proficiency in Microsoft Office Suite, particularly Excel (pivot tables, VLOOKUP, etc.).

Experience with accounting software (e.g., Tally, QuickBooks, or SAP) is preferred.

Strong organizational and time-management skills.

Ability to multitask and prioritize tasks in a fast-paced environment.
