Key Responsibilities
1. General Office Administration

Greet and assist visitors, clients, or vendors in a professional manner.

Answer and route phone calls, emails, and other communications.

Maintain office supplies inventory and place orders when necessary.

Ensure the office area is clean, organized, and well-maintained.
2. Scheduling and Calendar Management
-
Organize and maintain executives’ calendars.

Schedule appointments, meetings, and conference calls.

Coordinate meeting logistics, such as venue booking, equipment setup, or refreshments.

Send reminders and follow-ups as needed.
3. Documentation and Record-Keeping

Draft, format, and edit letters, memos, reports, and other business documents.

Maintain digital and physical filing systems for confidential and general documents.

Assist in preparing presentations, spreadsheets, and official correspondence.

Update company databases, employee records, and other administrative files.
4. Support to Teams and Managers
-
Provide administrative support to HR, Finance, Marketing, or other departments as needed.

Help with onboarding new employees by preparing workstations, ID cards, and documentation.

Assist in event planning, internal meetings, and training sessions.

Coordinate courier deliveries, travel bookings, and accommodation arrangements.
5. Communication and Coordination

Liaise between departments, employees, and external stakeholders.

Maintain contact lists and handle email and phone communications professionally.

Relay messages and take detailed notes during meetings when required.

Ensure all messages, decisions, and action points are properly documented and followed up.
