Knowledge in office management systems and procedures.
Attention to detail and problem solving skills.

Assist the department head in the day-to-day office operations of the department, and ensure the orderly and proper safekeeping of pertinent documents, materials, and supplies.
Key Responsibilities:
1. Office Administration
-
Handle day-to-day administrative duties including data entry, filing, and document management.

Maintain office supplies inventory and place orders when necessary.

Assist in managing office cleanliness and coordinate with housekeeping and maintenance staff.
2. Documentation & Record Keeping
-
Maintain and organize files (physical and digital) for easy retrieval.
-
Prepare, update, and manage reports, letters, memos, and other correspondence.
-
Ensure confidentiality of sensitive documents and data.
3. Scheduling & Coordination
-
Assist in scheduling meetings, appointments, and managing calendars for managers or department heads.

Coordinate internal meetings, prepare agendas, and take meeting notes if required.

Support in organizing company events or training sessions.
4. Communication & Support
-
Answer and direct phone calls, take messages, and respond to basic queries.

Greet and assist visitors or clients coming into the office.

Coordinate with vendors, courier services, and external contacts when needed.
5. HR & Accounts Support (if required)

Help in maintaining employee records and attendance registers.
-
Assist HR or accounts team with paperwork, forms, and simple follow-ups.

Support with documentation for reimbursements, invoices, and petty cash.
