Key Responsibilities

1. Office Administration

  • Manage day-to-day administrative tasks such as filing, data entry, photocopying, and scanning documents.

  • Maintain and organize office supplies and ensure timely ordering of stationery and essentials.

  • Handle courier management, office maintenance coordination, and front desk support (if applicable).

  • Ensure cleanliness, organization, and a welcoming environment in the workplace.

2. Scheduling and Coordination

  • Schedule appointments, meetings, and conference calls for managers and teams.

  • Coordinate meeting rooms, send calendar invites, and ensure required resources are available.

  • Take minutes of meetings when required and distribute them to relevant stakeholders.

  • Coordinate travel bookings and accommodations for staff or management.

3. Communication and Correspondence

  • Answer and direct phone calls, take messages, or handle inquiries.

  • Draft, proofread, and send emails, letters, and internal communications.

  • Maintain internal contact lists and ensure communication protocols are followed.

  • Act as the first point of contact for visitors, guests, and clients in a courteous manner.

4. Record Keeping and Documentation

  • Maintain accurate records of invoices, receipts, agreements, employee documents, and other official paperwork.

  • Support HR or Finance departments with administrative documentation when required.

  • Assist in maintaining digital and hard copy filing systems for easy retrieval of information.

  • Ensure all data is handled securely and in compliance with company policies.

5. Support to Other Departments

  • Provide administrative support to departments like HR, Sales, Marketing, Finance, and Operations.

  • Assist in coordinating internal events, training sessions, or company functions.

  • Help in the onboarding process for new employees by preparing joining kits, documents, etc.

  • Run errands or handle ad hoc administrative tasks as directed by superiors.
