We’re Hiring: Admin Assistant
Location: Coimbatore Tamil Nadu

Job Summary:

We are looking for a responsible, organized, and detail-oriented Admin Assistant to support the day-to-day administrative operations of our organization. The ideal candidate will serve as the backbone of the office by handling clerical duties, supporting management, coordinating office procedures, and ensuring smooth internal communication.

This position requires excellent communication, organizational, and multitasking skills. The Admin Assistant must be capable of managing various tasks efficiently, maintaining confidentiality, and demonstrating a proactive approach to administrative support.

Key Responsibilities:

1. Office Administration

  • Perform general office duties such as answering phones, responding to emails, and greeting visitors.

  • Organize and maintain physical and digital files and documents.

  • Handle incoming and outgoing mail and deliveries.

  • Maintain office cleanliness and ensure supplies are stocked (stationery, refreshments, etc.).

  • Coordinate office maintenance and liaise with service providers when needed.

2. Scheduling and Calendar Management

  • Manage and coordinate appointments, meetings, and events for managers and team members.

  • Schedule internal and external meetings, prepare meeting rooms, and ensure the availability of required resources.

  • Send reminders and follow-ups for meetings and important deadlines.

  • Prepare meeting agendas and take minutes when required.

3. Document Management and Data Entry

  • Create, format, and edit documents such as letters, memos, reports, spreadsheets, and presentations.

  • Accurately enter data into databases or spreadsheets and maintain up-to-date records.

  • Prepare official documents for internal and external communications.

  • Ensure confidential and sensitive documents are handled securely.

4. Support to Management and Staff

  • Assist managers and teams with administrative needs including printing, scanning, copying, and filing.

  • Coordinate travel arrangements including transportation, hotel bookings, and itineraries.

  • Support HR and finance departments in tasks like filing employee records or assisting with expense reimbursements.

  • Handle petty cash and maintain basic financial records (if applicable).

5. Internal Communication and Coordination

  • Act as a point of contact between different departments and teams.

  • Relay messages accurately and timely between staff members or departments.

  • Support onboarding processes by preparing desks, arranging equipment, and welcoming new hires.

  • Coordinate internal activities and staff events when necessary.

6. Recordkeeping and Reporting

  • Maintain accurate employee and company records including leave applications, attendance sheets, and contact details.

  • Prepare reports on office expenditures, inventory usage, and administrative performance.

  • Track task progress and report delays or concerns to supervisors.

Skills and Competencies:

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Familiarity with office equipment like printers, scanners, and telephones.

  • Basic knowledge of using cloud tools (e.g., Google Workspace, Dropbox) and database software.

Organizational Skills:

  • Strong time management and multitasking skills.

  • Ability to prioritize tasks and manage daily workflow with minimal supervision.

  • Attention to detail and high level of accuracy in data entry and document preparation.

Communication Skills:

  • Excellent verbal and written communication skills.

  • Professional and courteous behavior in person, on calls, and in written correspondence.

  • Ability to handle sensitive and confidential information with discretion.
