Job Summary:
We are seeking a responsible, proactive, and detail-oriented Admin Assistant to provide support to our office staff and ensure smooth day-to-day operations. The ideal candidate will handle a variety of administrative and clerical tasks such as maintaining records, coordinating meetings, handling correspondence, managing supplies, and assisting in office management activities.
This role is best suited for someone who is organized, efficient, and has a positive attitude toward multitasking in a dynamic work environment.
Key Responsibilities:
1. Office Operations & General Support

Greet and assist visitors, clients, and vendors at the reception or office front desk.

Maintain a clean, professional, and well-organized work environment.

Support daily office operations by ensuring availability of stationery, forms, and other supplies.

Handle incoming calls, emails, and letters; route them to the appropriate departments.
2. Documentation & Record-Keeping

Maintain hard copy and digital filing systems for employee records, documents, and office materials.

Enter and update data in spreadsheets, databases, or office software.

Keep records of attendance, leaves, office inventory, and expenses.

Scan, photocopy, and print documents as needed.
3. Meeting & Scheduling Support

Assist in scheduling meetings, appointments, and interviews for staff or management.

Reserve meeting rooms and ensure they are equipped for presentations or discussions.

Distribute meeting agendas, take meeting minutes if needed, and follow up on action items.
4. Vendor & Maintenance Coordination

Coordinate with external vendors for office supplies, repairs, AMC (Annual Maintenance Contracts), and services such as housekeeping, courier, or utilities.

Ensure office equipment such as printers, air conditioners, and computers are maintained properly and reported for servicing when needed.
5. Support to HR/Accounts/Management

Assist the HR team with documentation during onboarding/offboarding processes.

Help the accounts or finance team in collecting bills, vouchers, and receipts.

Arrange travel bookings, accommodations, and logistics for employees or guests if required.
6. Confidentiality & Compliance

Handle sensitive information and confidential documents with discretion.

Ensure company policies are followed in administrative procedures and reporting.
