Admin Assistant (1 - 2 years experience in admin Domain)
Key Responsibilities:
1. Office Administration & Support
-
Maintain and organize office files, records, correspondence, and other documents (physical and digital).

Handle routine administrative duties such as photocopying, scanning, printing, filing, and faxing.

Track inventory and manage office supplies, ensuring stock levels are maintained and reordering when necessary.
-
Coordinate with vendors, courier services, maintenance teams, and IT support for office-related needs.
2. Front Desk & Reception Duties
-
Greet and assist visitors, guests, and clients with a professional and friendly attitude.

Answer incoming phone calls, redirect calls, and take accurate messages as needed.

Handle incoming and outgoing mail and packages.
-
Maintain a neat and welcoming reception area.
3. Meeting & Event Coordination
-
Schedule and coordinate internal meetings, conferences, training sessions, or external appointments.
-
Prepare meeting agendas, take minutes, and distribute them to relevant team members.
-
Arrange logistics such as meeting room bookings, refreshments, and AV equipment setup.
-
Support the planning and execution of company events, workshops, and official functions.
4. Communication & Correspondence
-
Draft, proofread, and format emails, letters, memos, and reports for internal and external communication.

Maintain communication between departments, team members, clients, and vendors.

Respond to basic email and phone inquiries and escalate matters to the appropriate person.
5. Data Entry & Documentation
-
Input and update accurate information in company databases, records, and spreadsheets.
-
Maintain employee files, leave records, and visitor logs as required.

Ensure confidentiality and proper archiving of sensitive company information.
-
Assist in preparing reports, presentations, and policy documents.
6. HR & Employee Support (If Assigned)
-
Assist with onboarding new employees by preparing documentation, ID cards, and office setup.
-
Help coordinate interviews, schedule candidate meetings, and maintain applicant records.
-
Collect and organize attendance records, leave applications, and employee queries for HR review.
