Key Responsibilities
Office Administration

Oversee general office operations and ensure the office is well-maintained and fully functional.

Monitor office cleanliness and hygiene in coordination with housekeeping staff or facility management.

Manage office supplies and place orders as needed to ensure stock availability (stationery, pantry items, cleaning materials, etc.).

Maintain and update records of assets, equipment, keys, and access cards.
Vendor and Facility Management

Liaise with external vendors and service providers for office maintenance, repairs, equipment servicing, and utility services.

Negotiate contracts or renewals for services such as housekeeping, IT support, security, courier, and internet providers.

Ensure timely and accurate payment of utility bills, rent, and vendor invoices.
Travel and Logistics

Coordinate domestic and international travel arrangements including flights, hotel bookings, cab services, and travel itineraries for employees and visitors.

Arrange transportation and accommodation for staff attending conferences, training, or field visits.

Handle logistics for company events, meetings, or workshops.
Administrative Support

Prepare and maintain administrative reports such as attendance sheets, asset logs, petty cash records, and maintenance schedules.

Assist in scheduling meetings, organizing appointments, and booking meeting rooms.

Support internal departments (HR, Finance, Marketing) with administrative and clerical tasks as required.

Draft emails, memos, and correspondence for internal communication.
Recordkeeping and Documentation

Maintain hard and soft copies of office documents, contracts, company records, policies, and procedures.

File and retrieve documents in an organized manner to ensure easy access when required.

Assist in maintaining compliance documents, safety logs, and internal process checklists.
Employee Onboarding and Support

Coordinate workstation setup, ID card issuance, and access credentials for new employees.

Act as the point of contact for employees for administrative queries or requests.

Maintain visitor logs and ensure guest hospitality for external stakeholders.
