Job Description
Maintain and update customer and vendor databases.
Prepare invoices, work orders, and delivery notes.
Coordinate with the sales and installation teams to schedule site visits and project timelines.
Track and manage office inventory, materials, and supplier orders.
Maintain records of employee attendance, leaves, and basic HR documentation.
Ensure the office is running smoothly and assist with daily business operations
Key Responsibilities
1. Office Operations & General Administration
-
Oversee and ensure smooth daily office functioning, cleanliness, and maintenance.

Manage office supplies and inventory (stationery, pantry items, IT accessories, etc.) and place orders when required.

Coordinate with vendors, housekeeping staff, courier partners, and service providers for facility management.
-
Maintain asset registers and ensure company property like laptops, projectors, keys, and ID cards are properly tracked.
2. Front Desk & Reception Duties (if applicable)
-
Greet visitors, clients, and candidates politely and direct them to the appropriate person or department.

Answer incoming phone calls and handle inquiries or forward calls as necessary.

Manage visitor entry logs, appointment schedules, and access control procedures.
3. Documentation & Filing
-
Maintain physical and digital records of all company documents, reports, bills, invoices, contracts, and licenses.

Organize and file employee records, company policies, and administrative communications.

Assist in data entry, typing letters, printing, photocopying, and scanning documents when required.
4. Coordination & Support
-
Coordinate with internal departments like HR, Accounts, IT, and Operations for various administrative needs.

Support HR in employee onboarding activities like desk setup, document collection, issuing ID cards, etc.

Liaise with banks, government offices, and external agencies for administrative purposes like compliance, utility bills, property taxes, etc.

Arrange travel and accommodation for staff, clients, or management when needed.
5. Facilities Management
-
Monitor the cleanliness and upkeep of the office premises.

Handle minor repair and maintenance needs in coordination with facility vendors or building management.

Ensure timely servicing of office equipment like printers, air conditioners, water dispensers, etc.
6. Meetings & Events Support
-
Arrange and prepare meeting rooms for internal and external meetings.

Assist in organizing office events, team meetings, workshops, and celebrations.

Maintain proper refreshments and supplies for guests and staff during meetings or training sessions.
7. Administrative Compliance
-
Ensure that licenses, company registrations, fire safety certificates, AMC agreements, and insurance policies are renewed on time.

Keep track of lease agreements, rent payments, utility bills, and other recurring administrative costs.
