Job Description

Main Job Tasks and Responsibilities

  • Manage and maintain MD's schedules, appointments and daily plans to ensure that MD’s time is respected.
  • Making travel arrangements, preparing itineraries and agendas, compiling documents for travel-related meetings
  • Liaise with internal staff at all levels
  • Liaison between corporate office and factories.
  • Document minutes of all meetings as directed by the Managing Director.
  • Answer and manage all incoming calls and correspondences.
  • Arrange and co-ordinate all meetings and events for the MD
  • Set up and maintain the integrated electronic and paper based filing systems on a daily basis and ensure easy access to the MD
  • Preparing and editing correspondence, communications, presentations and other documents as directed by the MD. Also, maintain confidentiality.
  • Design and maintain databases. Proficiency in Excel and MIS reports handling is imperative.  
  • File and retrieve documents and reference materials
  • Handling matters and conflicts expeditiously and proactively before they reach the MD.
  • Ability to meet deadlines and work under pressure.
  • Work closely and effectively with MD to keep him well informed of upcoming commitments and responsibilities.
  • Maintain and develop systems, procedures and records in line with the organization’s policies and objectives
Qualifications Required:  
  • Bachelor's degree required in any of the following business, commerce, management, accounting, finance, economics
  • 3-5 years of experience preferably in a listed company.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Excellent administration and secretarial skills.
  • Excellent verbal and written communication skills.
  • Good team player with strong interpersonal skills to build professional relationships with different stakeholders including staff
  • Strong organizational and planning skills
  • Information gathering and monitoring skills
  • Proactive in problem-solving and strong decision making ability.
  • Self-motivated to seek new opportunities and attain high performance goals in a fast paced environment.
  • Attention to detail and accuracy
  • Ability to handle confidential information with discretion and adaptability to competing demands.
