Job Description

Job Summary:

We are seeking a reliable, well-organized, and detail-oriented Administration Executive to manage office operations and administrative support tasks. The role involves maintaining office infrastructure, coordinating with departments and vendors, supporting HR/admin documentation, and ensuring the overall efficiency of day-to-day office functions.

This position is ideal for candidates who are proactive, good at multitasking, and capable of handling responsibilities in a fast-paced office environment.

Key Responsibilities:

1. Office Management & Administration

  • Ensure the smooth functioning of daily office operations

  • Monitor housekeeping, pantry, security, and general cleanliness

  • Track office supplies (stationery, cleaning materials, etc.) and reorder when needed

  • Maintain records related to utility bills, service providers, and maintenance

2. Facility Coordination

  • Coordinate with vendors for maintenance, repair work, and equipment servicing

  • Manage Annual Maintenance Contracts (AMC) for office infrastructure

  • Ensure functioning of printers, air conditioners, internet, CCTV, and other office assets

3. Administrative Documentation

  • Maintain physical and digital filing systems for admin documents

  • Assist in preparing reports, circulars, notices, and other communication

  • Keep track of incoming and outgoing letters, courier packages, and inventory records

  • Support HR in documentation during onboarding and exit formalities

4. Vendor & Service Management

  • Source quotations and finalize vendors for office-related services and purchases

  • Verify vendor bills, process payments, and maintain expense records

  • Maintain good relationships with suppliers and ensure timely delivery of services

5. Communication & Coordination

  • Coordinate with different departments for any office-related requirements

  • Relay internal communications, memos, and staff instructions efficiently

  • Greet guests, schedule appointments, and support reception duties when required

6. Logistics & Event Support

  • Handle office travel arrangements (tickets, hotel bookings, cab services)

  • Assist in organizing company meetings, employee events, or training programs

  • Manage logistics for internal and external visitors
