Job Description
Sourcing of new Products.
Strong Communication Skills: Both written and verbal communication required for interacting with clients and colleagues.
Computer Proficiency: Being comfortable with office software and technology.
Document Management: Preparing reports, spreadsheets, and other documents, as well as managing files and records.
Time Management Skills: Prioritizing tasks and meeting deadlines efficiently.
Basic Bookkeeping: Maintaining accounts, handling inwards and outwards and preparing expense reports
Computer Proficiency: Being comfortable with office software and technology.
Key Responsibilities:
1. Office Management and Coordination

Oversee day-to-day operations in the office, ensuring a smooth and organized working environment.

Manage office supplies, order necessary equipment, and maintain inventory to ensure the office runs without interruption.

Organize and schedule meetings, appointments, and office events, including booking venues and preparing necessary materials.
2. Documentation and Record Keeping
-
Maintain and organize office records, files, and documents (both digital and physical) ensuring they are up to date and accessible.

Manage confidential documents with discretion, ensuring all sensitive materials are properly secured.

Assist in preparing reports, presentations, and other documents for internal and external meetings.
3. Communication and Correspondence
-
Handle incoming calls, emails, and other communications promptly and professionally.

Draft letters, memos, and internal communications on behalf of senior management.

Ensure proper communication flow within the office and with external stakeholders, such as clients, suppliers, and contractors.
4. Meeting and Event Coordination

Coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.

Organize office events, team-building activities, and workshops, ensuring smooth execution and timely preparation.

Arrange travel logistics for senior management and staff, including booking flights, accommodations, and ground transportation.
5. Administrative Support to Departments

Provide administrative assistance to various departments as required, such as HR, finance, and marketing.

Assist in preparing and processing documents for payroll, benefits, and recruitment when necessary.

Support project teams with document handling, scheduling, and other administrative tasks.
6. Compliance and Reporting

Ensure compliance with company policies and procedures, as well as relevant legal and regulatory requirements.

Prepare reports on office activities, expenditures, and operational performance as requested by management.

Assist in audits, and help track compliance with safety, health, and environmental standards.
7. Facilities and Vendor Management

Oversee the maintenance of office facilities, ensuring cleanliness, functionality, and safety.

Liaise with vendors and service providers for maintenance, office supplies, or other services.

Manage contracts with suppliers and service providers, ensuring timely renewal and negotiation of terms.
