Job Description
Job Summary
We are looking for a well-organized, responsible, and proactive Administration Executive to support our office operations. The Administration Executive plays a key role in managing day-to-day office tasks, ensuring smooth coordination across departments, maintaining office supplies, handling internal communication, and assisting in facility and vendor management.
The ideal candidate should be efficient, detail-oriented, and able to multitask in a fast-paced environment. This position requires a positive attitude, basic computer proficiency, and a commitment to maintaining a professional and well-run workplace.
Key Responsibilities
1. Office Operations & Maintenance

Oversee daily office activities to ensure smooth functioning.

Monitor and manage office cleanliness, security, and overall facility upkeep.

Coordinate with housekeeping, security staff, and maintenance teams.

Ensure regular functioning of office equipment like printers, air-conditioners, and telephones.
2. Administrative Support
-
Manage internal communication, circulars, and meeting coordination.

Handle general correspondence, printing, filing, and document scanning.

Support senior management with clerical tasks, data entry, and organizing files.

Prepare and maintain reports, registers, and checklists for routine office processes.
3. Vendor & Asset Management
-
Maintain inventory of office supplies like stationery, pantry items, etc.

Coordinate with external vendors for services such as courier, repair, printing, housekeeping, etc.

Track AMC (Annual Maintenance Contracts) and renewals for office equipment.

Handle procurement of assets and materials in coordination with the purchase team.
4. Front Office and Visitor Handling

Welcome visitors and ensure they are directed to the appropriate departments.

Manage front desk duties like incoming calls, courier dispatches, and email responses.

Maintain the visitor register and coordinate meeting room bookings.
5. Documentation & Recordkeeping

Maintain up-to-date records of employee attendance, access control, and office logs.

Assist HR or Accounts with administrative tasks like document collection and form processing.

Ensure all company documents are safely stored and easily retrievable when needed.
6. Event and Meeting Support

Assist in the planning and coordination of office events, meetings, and celebrations.

Arrange logistics such as refreshments, audio-visual equipment, and seating for meetings.

Help organize internal team-building activities, training sessions, and workshops.
Technical Skills:

Proficient in MS Office (Word, Excel, Outlook)

Comfortable with emails, scheduling tools, and file management

Knowledge of office equipment like photocopiers, printers, scanners
