We are seeking a proactive, organized, and detail-oriented Administration Executive to manage and oversee daily administrative functions within our organization. The role involves handling office operations, supporting various departments, coordinating logistical activities, managing documentation, and ensuring the smooth functioning of internal systems and processes.

Key Responsibilities
1. Office Operations & Support

Oversee day-to-day office operations, including office cleanliness, maintenance, and functioning of equipment.

Manage incoming and outgoing correspondence (emails, courier, phone calls, etc.).

Maintain office supplies inventory by checking stock and placing orders when necessary.

Serve as the point of contact for internal staff and external vendors for administrative needs.

Coordinate with housekeeping, security, IT, and maintenance teams to ensure a well-maintained workplace.
2. Record Keeping & Documentation

Maintain and organize company records, employee files, contracts, and confidential documents.

Ensure accurate data entry, scanning, and filing of all relevant administrative records.

Assist with the preparation of reports, meeting minutes, and internal memos.

Maintain updated databases, such as contact directories, attendance logs, and asset registers.
3. Facility & Vendor Management
-
Coordinate facility-related services such as utilities, repairs, pest control, internet services, etc.

Manage vendor relationships, negotiate service agreements, and ensure timely delivery of services.

Monitor invoices, payments, and service level agreements with vendors or third-party providers.

Oversee office equipment and furniture, ensuring they are in good working condition.
4. Travel & Logistics Coordination

Assist in booking transportation and accommodation for staff as per travel requirements.

Manage itineraries and travel schedules for visiting clients or senior management.

Handle logistics for meetings, training programs, seminars, or company events (room bookings, materials, refreshments, etc.).
5. HR & Administrative Support

Support HR in onboarding new employees (ID card issuance, workstation setup, orientation materials).

Coordinate employee welfare activities like team outings, celebrations, and wellness programs.

Maintain records related to leave, attendance, and timesheets in collaboration with the HR department.

Assist in the implementation and monitoring of office policies and procedures.
6. Compliance & Safety

Ensure that health and safety regulations are followed within the premises.

Monitor fire safety equipment, first aid supplies, and emergency preparedness plans.

Assist in regulatory compliance by keeping track of renewal dates for licenses, permits, insurance, etc.
