Job Description

Key Responsibilities:

1. Office Administration and Facility Management:

  • Oversee day-to-day office operations including housekeeping, office supplies, repairs, and maintenance.

  • Ensure cleanliness, security, and readiness of the office premises at all times.

  • Coordinate with vendors for office maintenance, cleaning services, pest control, and other facility-related services.

2. Procurement and Inventory Management:

  • Manage procurement of office supplies, stationery, pantry items, and equipment.

  • Track stock levels, place orders in a timely manner, and maintain inventory records.

  • Negotiate with vendors for pricing, quality, and timely delivery of goods and services.

3. Front Office and Reception Duties (if required):

  • Handle visitor management – greet guests, direct them to the appropriate departments, and manage the visitor log.

  • Manage incoming and outgoing calls, emails, and correspondence.

  • Receive and dispatch courier/parcels and maintain records for the same.

4. Travel and Accommodation Arrangements:

  • Coordinate travel bookings including flights, trains, cabs, and hotel accommodations for employees and guests.

  • Prepare travel itineraries and ensure arrangements meet employee and budgetary requirements.

5. Record Keeping and Documentation:

  • Maintain organized files and records of administrative activities, office maintenance, and service contracts.

  • Prepare reports, memos, letters, and other documents as required by the management.

  • Assist in maintaining compliance-related documentation (fire safety, labor licenses, etc.).

6. Asset and Infrastructure Management:

  • Maintain records of office assets such as computers, furniture, printers, and other equipment.

  • Coordinate repairs or replacements of faulty equipment or infrastructure.

  • Ensure the availability and functionality of essential services like internet, water, electricity, etc.

7. Vendor and Service Provider Coordination:

  • Manage vendor registrations, contracts, and payment processing in coordination with the accounts department.

  • Evaluate vendor performance periodically and suggest improvements or changes.

  • Ensure service quality from third-party providers is up to company standards.

8. Employee Support and Event Coordination:

  • Assist HR in onboarding activities such as workstation setup, ID card issuance, and desk allocation.

  • Coordinate internal meetings, office events, and celebrations like birthdays, festivals, and employee engagement programs.

  • Support other departments in logistics and administrative tasks when needed.

9. Compliance and Safety Oversight:

  • Ensure all licenses, agreements, and regulatory documents are current and properly filed.

  • Monitor workplace safety standards and assist in emergency preparedness and compliance.

  • Ensure proper functioning of CCTV, fire extinguishers, and access control systems (if applicable).

10. Reporting and Communication:

  • Submit regular reports on office operations, vendor performance, and administrative expenses.

  • Communicate administrative policies and updates clearly to all employees.

  • Escalate any issues in facility operations to higher management promptly.
