Job Description
Key Responsibilities:
1. Office Management:
-
Supervise the day-to-day functioning of office facilities and ensure a clean, organized, and well-equipped workspace.

Manage front desk activities, courier services, housekeeping staff, and general maintenance.

Maintain office equipment (printers, phones, Wi-Fi, etc.) and coordinate with vendors for repairs and AMC services.
2. Administrative Support:
-
Maintain and organize physical and digital files, employee documents, contracts, and office records.
-
Prepare letters, memos, circulars, and reports as needed by management.
-
Manage meeting room bookings, event planning, and internal schedules.

Monitor attendance registers, leave records, and gate pass logs.
3. Procurement & Inventory:
-
Manage purchase and stock of office supplies, stationery, refreshments, hygiene items, and other materials.

Track inventory levels and place orders based on usage and requirements.

Coordinate with vendors for quotations, invoice processing, and timely delivery of materials.
4. HR & Staff Coordination:
-
Assist HR in onboarding new employees by organizing ID cards, desks, IT setup, and welcome kits.

Help maintain employee records including attendance, leave applications, and policy communication.

Support training sessions, meetings, and company-wide notices.

Coordinate with payroll department for monthly attendance and overtime records.
5. Compliance & Safety:
-
Ensure office operations are compliant with local regulations and safety guidelines.

Maintain fire safety equipment, emergency contact lists, and first aid supplies.

Assist in audits related to administrative procedures and documentation.
6. Visitor & Communication Management:
-
Greet visitors, direct them appropriately, and maintain the visitor logbook.

Handle incoming calls, transfer inquiries, and manage official communication via email or intercom.

Maintain confidentiality and ensure professional representation of the company.
