Job Description

  • Provide general administrative and support Manage office supplies stock and place orders when necessary.

  • Maintain physical and digital filing systems.

  • Assist in scheduling meetings, appointments, and travel arrangements.

  • Handle communications.

  • Support the preparation of reports, presentations, and data entry.

  • Coordinate with vendors and service providers for office maintenance needs.

  • Monitor office cleanliness and liaise with housekeeping or facility services.

  • Assist in onboarding new employees and organizing induction sessions.

  • Ensure all administrative activities run smoothly and efficiently.

  • Maintain Attendance Record

  • Key Responsibilities:

    Administrative Support:

    • Provide general administrative and clerical support to the office or department.

    • Prepare, format, and distribute documents such as memos, reports, minutes, and presentations.

    • Assist in drafting correspondence and managing email communications.

    • Maintain updated internal records, including databases, employee files, and inventory logs.

    Office Management:

    • Oversee daily office operations including reception, supplies, equipment maintenance, and cleanliness.

    • Ensure timely procurement and inventory of office supplies and stationery.

    • Liaise with vendors, service providers, and maintenance personnel for office needs.

    • Maintain a clean, organized, and professional front office and working environment.

    Data Entry and Record Keeping:

    • Enter and update data accurately in spreadsheets, databases, or internal systems.

    • Maintain filing systems (physical and digital) for administrative, HR, or operational documents.

    • Track attendance, leaves, and timesheets in coordination with the HR or payroll team.

    • Assist in preparing reports, summaries, or charts as required by management.

    Meeting and Event Coordination:

    • Schedule and organize meetings, appointments, and conferences for internal and external stakeholders.

    • Prepare meeting agendas, take notes, and circulate minutes or action items.

    • Assist in planning and executing internal events, training sessions, or celebrations.

    • Coordinate logistics such as room bookings, refreshments, travel, and materials for events or meetings.

    Support to Management:

    • Assist department heads or senior executives in daily tasks and follow-ups.

    • Coordinate between departments to ensure smooth information flow and timely task execution.

    • Handle confidential and sensitive information with discretion.

    • Perform ad hoc tasks or special assignments as delegated by supervisors.

    Compliance and Documentation:

    • Ensure all administrative processes comply with company policies and legal regulations.
