Job Description

Key Responsibilities (KRAs) Resignation Management & Updates • Process all resignations within the Digicad system, ensuring email-based resignations have necessary approvals from the Reporting Manager and HODs before entry. • Provide daily updates to HR Shared Services (HRSS) for necessary detachments in the Phyzii system. • Promptly complete all actions in Digicad/HRIS Tools and inform HRSS and Payroll in case of a resignation revoke. • Generate a weekly exit report and share it with all relevant stakeholders. HR System (Digicad) Maintenance • Perform regular correction and maintenance of the Organograms for all divisions within the assigned verticals. • Ensure all HR actions—including reporting changes, promotions, transfers, and separations—are updated in Digicad with correct dates and hierarchy. • Implement updates in Digicad based on field queries (e.g., address, name, email ID changes). Resource Requisition & Job ID Management • Create and submit job codes based on the deployment master data and provide them to the Talent Acquisition (TA) team to enable timely offer releases. • Regularly check and correct the Organogram in Digicad to ensure job IDs are available on time. • Create additional (non-replacement) Job IDs as per necessary approvals. • Conduct regular clean-up checks and delete extra (non-functional) job codes that are no longer required in Digicad. Deployment & Data Tracking • Maintain daily tracking of deployment data, making necessary, timely updates for transfers, promotions, vacancies, resignations, and organogram changes. • Communicate all daily changes to the designated data custodian (e.g., Ankit Koshti). Probation Assessment & Confirmation • Track probation cases and ensure timely closure in one of three categories: extension, confirmation, or discontinuation. Actions must be completed in DigiCAD with required approvals up to the HOD level. • Share the daily tracker with HRSS and all stakeholders for necessary updates in Phyzii. • Coordinate with field line managers to follow up on and resolve pending probation cases. Attrition Data & Insights • Conduct robust exit interviews with all resigned employees on a real-time basis to capture exact, detailed reasons for leaving (avoiding generic comments). • Provide regular updates and insights on attrition reasons to the HR Business Partner (HRBP). Manager Review Facilitation • Coordinate with managers to ensure they complete the 30-60-90 day performance reviews for their direct reportees in Digicad. • Conduct regular follow-ups to ensure these reviews are completed on time. New Joiner Connect & MIS • Connect with new joiners once they join the field after completing their First Line Program (FLP) to ensure basic organizational hygiene is in place. • Maintain a comprehensive MIS covering 30-60-90 day reviews, attrition data, new joiner connections, and probation confirmation status. ________________________________________ Required Skills & Qualifications • Proven experience in HR Operations, HRIS management, or a similar data-intensive HR role. • Expert-level proficiency in managing HR systems (ideally Digicad/similar HRIS) and MS Excel. • Strong attention to detail and commitment to data accuracy. • Excellent communication and coordination skills for liaising with TA, HRSS, Payroll, and field management. • Ability to handle confidential information with discretion.
