Job Description
Introduction
We are seeking a highly organized and proactive Assistant Operations Manager to join our logistics and supply chain team. The ideal candidate will have prior experience in port operations, customs clearance, shipment tracking, and vendor coordination. In this role, you will assist in managing end-to-end import/export operations, ensuring seamless cargo movements, on-time delivery, and compliance with regulatory requirements.
This position requires strong coordination skills, an eye for detail, and the ability to work in a fast-paced operational environment while ensuring efficiency and accuracy across all shipping processes.
Key Responsibilities
1. Shipment Coordination & Monitoring

Coordinate with CHA (Customs House Agents), freight forwarders, transporters, and warehouse personnel to ensure timely clearance and dispatch of shipments.

Track the movement of cargo including FCL (Full Container Load), LCL (Less than Container Load), and air freight shipments.

Maintain continuous communication with carriers to monitor vessel schedules, transit times, and delivery commitments.

Ensure that delivery deadlines are met by proactively resolving potential delays or disruptions.
2. Port & Customs Operations

Assist in managing daily port operations, including monitoring container statuses and clearance updates.

Communicate with customs brokers and authorities to facilitate smooth inspection processes and assessments.

Ensure proper submission of Bill of Entry, Shipping Bills, and other required customs documents.

Stay updated with regulatory changes and ensure full compliance with import/export laws.
3. Documentation Management

Prepare and verify all necessary documents related to imports, exports, and shipping operations.

Ensure accurate preparation and timely submission of:

Commercial invoices

Packing lists

Bills of lading

Certificates of origin

Duty payments and clearance papers

Maintain an organized record of shipping documents for audit and reference purposes.
4. Vendor & Stakeholder Coordination

Work closely with internal teams, vendors, and third-party logistics providers to ensure smooth operations.

Liaise with carriers, warehouse managers, and transport agencies to manage inbound and outbound movements.

Negotiate with service providers to achieve cost-effective shipping solutions without compromising on timelines.

Build and maintain strong relationships with external partners to ensure efficient service delivery.
5. Operational Troubleshooting & Risk Management

Identify and resolve operational bottlenecks that may delay shipments or disrupt timelines.

Handle shipment discrepancies, damages, or delays by coordinating with relevant stakeholders.

Ensure cargo insurance claims are processed promptly, where applicable.

Implement contingency plans to mitigate risks related to weather disruptions, port congestion, or customs delays.
6. Reporting & Analysis

Maintain accurate records of shipment timelines, costs, and operational KPIs.

Prepare daily, weekly, and monthly reports on shipment statuses and operational performance.

Analyze operational data to identify areas for process improvement and cost optimization.

Provide insights to management regarding vendor performance, clearance timelines, and freight costs.
Required Skills & Competencies
Technical Skills

Strong understanding of logistics, shipping, and freight operations.

Knowledge of import/export documentation and compliance procedures.

Familiarity with CHA operations, customs clearance, and international shipping terms (Incoterms).

Proficiency in MS Office (Excel, Word, Outlook) and ERP systems for shipment tracking.

Ability to work with freight forwarding portals and carrier tracking systems.

Educational Qualifications

Required Qualification: Graduate in Logistics, Supply Chain Management, International Business, or related fields.
