Job Description

The Assistant Receptionist will support the front desk in ensuring efficient and friendly service to visitors, callers, and staff. This role involves handling incoming calls, greeting guests, maintaining reception area standards, and providing general administrative assistance.

Key Responsibilities:
  • Greet and welcome visitors in a professional and courteous manner.

  • Answer, screen, and transfer incoming phone calls promptly.

  • Assist with scheduling appointments and maintaining meeting room calendars.

  • Handle incoming and outgoing mail, couriers, and deliveries.

  • Keep the reception area clean, and presentable at all times.

  • Maintain visitor logs and issue visitor badges as required.

  • Provide general administrative support, such as photocopying, scanning, and data entry.

  • Assist with ordering and stocking office supplies.

  • Support other staff and departments with routine clerical tasks.

  • Perform other duties as assigned by the Receptionist or Office Manager.

Requirements & Qualifications:
  • High school diploma or equivalent.

  • Previous experience in customer service or as a receptionist is a plus.

  • Strong communication and interpersonal skills.

  • Professional appearance and positive attitude.

  • Basic computer skills (MS Office: Word, Excel, Outlook).

  • Ability to multitask and remain calm under pressure.

  • Strong organizational skills and attention to detail.
