Job Description

Job Overview:

We are looking for a well-organized and detail-oriented Back Office Assistant with strong procurement and tele-sales coordination experience to support our operations from a remote environment. This individual must possess excellent English communication skills, both spoken and written, as well as a professional presentation style, email etiquette, and proficiency in MS Office tools. Multilingual proficiency and prior experience in industrial procurement or support roles in a tele-sales environment will be considered a strong advantage.

As a work-from-home team member, you are expected to be self-driven, well-disciplined, and equipped with a personal laptop and a stable internet connection. The role will involve communication with vendors, internal teams, and clients, preparing reports, managing procurement documentation, and supporting sales representatives with lead follow-ups, quotations, and backend coordination.

Key Responsibilities:

1. Procurement Support:

  • Assist in sourcing vendors for industrial products, machinery, raw materials, or general supplies based on company or client requirements.

  • Request and consolidate quotations from suppliers; compare pricing, delivery timelines, and payment terms.

  • Maintain vendor databases and procurement documentation (RFQs, purchase orders, invoices, delivery receipts).

  • Coordinate with internal departments for approvals and PO release.

  • Follow up with suppliers on order status, delivery updates, and issue resolution.

  • Ensure compliance with procurement policies and assist in vendor evaluation.

2. Tele-Sales Back Office Support:

  • Work alongside front-line sales executives to support lead generation, tracking, and follow-up activities.

  • Prepare sales quotations, order forms, and proposals as per client inquiries.

  • Maintain and update CRM or lead management tools with accurate and timely data.

  • Coordinate with clients via email or phone to provide updates on quotations, deliveries, or pending documentation.

  • Prepare daily/weekly sales performance reports and dashboards using Excel or Google Sheets.

3. Communication & Coordination:

  • Draft professional emails and correspondences to vendors, clients, and internal teams.

  • Attend virtual meetings, take minutes, and follow up on action items.

  • Liaise between sales, procurement, finance, and logistics teams to ensure smooth workflow.

  • Act as a central point of contact for internal and external stakeholders requiring documentation or clarification.

4. Documentation & Reporting:

  • Maintain accurate records of purchase requests, quotations, supplier communications, and sales interactions.

  • Create detailed reports and summaries for management review.

  • Assist in preparing procurement and sales presentations using PowerPoint or equivalent tools.

  • Organize files systematically for audits, tracking, and performance evaluation purposes.

Required Skills and Qualifications:

  • Education: Bachelor's degree in Business Administration, Commerce, Supply Chain, or a related field.

  • Experience:

    • Prefer experience in a back-office, procurement, or tele-sales support role.

    • Industrial procurement background is strongly preferred.

  • Communication:

    • Excellent command of English (both written and spoken).

    • Clear phone etiquette and ability to professionally converse with suppliers and clients.

    • Email drafting proficiency is mandatory.

  • Presentation & Software Skills:

    • Proficiency in MS Office (Excel – formulas, pivot tables, charts; Word – formatting; PowerPoint – basic presentations).

    • Familiarity with Google Workspace (Docs, Sheets, Gmail) is a plus.

  • Multilingual Skills:

    • Knowledge of multiple Indian or international languages (e.g., Hindi, Tamil, Telugu, Kannada, Bengali, Marathi, or foreign languages) is a bonus and may enhance communication with diverse clients or vendors.

  • Technical Requirements:

    • Must own a personal laptop with camera and microphone.

    • Stable broadband internet connection for daily work, calls, and virtual meetings.
