Position Overview:

The Back Office Assistant plays a crucial role in ensuring the smooth functioning of the administrative and operational aspects of the organization. They provide support in various administrative tasks such as data entry, document management, filing, and handling internal communications. This position requires an individual with strong organizational skills, attention to detail, and the ability to multitask efficiently.

Key Responsibilities:

1. Administrative Support:

  • Data Entry: Inputting data into databases, spreadsheets, and systems accurately and on time.

  • Document Management: Organizing and maintaining physical and digital records, including sorting, filing, and retrieving documents as necessary.

  • Correspondence Handling: Assisting in the preparation of internal and external communications, including emails, letters, and memos.

2. Coordination and Communication:

  • Internal Communication: Assisting with the communication between different departments to ensure smooth operations.

  • Customer Support: Responding to customer inquiries or forwarding them to the appropriate department.

  • Schedule Management: Supporting the scheduling of meetings, appointments, and other office activities, ensuring that all logistics are handled efficiently.

3. Office Supplies and Inventory Management:

  • Inventory Tracking: Monitoring and maintaining office supplies, ordering new stock when needed, and ensuring there are no shortages.

  • Stock Organization: Organizing and maintaining the office’s inventory of stationery, office equipment, and materials for smooth day-to-day operations.

4. Data Management and Reporting:

  • Database Management: Maintaining and updating databases with accurate information.

  • Reporting: Assisting in the preparation of reports by gathering and organizing data, including generating routine reports for the team or management.

  • File Maintenance: Ensuring that all digital and physical files are organized, up-to-date, and easily accessible.

5. Support for Office Operations:

  • Meeting Preparation: Assisting in the setup of meeting rooms, preparing documents, and coordinating necessary materials for meetings or presentations.

  • Record Keeping: Keeping track of incoming and outgoing office mail, handling postage, and distributing it to relevant departments.

6. Assisting with Human Resources Tasks:

  • Employee Records: Assisting with maintaining employee records and supporting HR department functions like attendance tracking, leave management, and onboarding processes.

  • Payroll Assistance: Assisting with payroll processing and ensuring all data is accurate and up to date.

7. Compliance and Procedures:

  • Adherence to Policies: Ensuring that all back office processes are carried out in accordance with company policies and regulatory standards.

  • Confidentiality: Handling sensitive information with care and maintaining confidentiality at all times.
