Job Summary:

A Back Office Assistant is responsible for providing administrative, clerical, and organizational support to ensure the smooth operation of the company’s internal functions. While not directly customer-facing, this role is essential to maintaining efficiency and accuracy in documentation, communication, and support processes across departments.

The ideal candidate is detail-oriented, organized, and comfortable working behind the scenes to support operational functions. This position is suited for individuals who enjoy structured tasks, multitasking, and contributing to business success through accurate data management and office coordination.

Key Responsibilities:

1. Administrative Support

  • Provide day-to-day administrative assistance to various departments, including finance, sales, HR, and operations.

  • Manage and organize physical and digital files, records, reports, and correspondence.

  • Prepare routine documents such as letters, memos, reports, and internal notices.

  • Handle routine internal communications, scheduling, and documentation needs of the office staff.

2. Data Entry and Documentation

  • Enter and update data in spreadsheets, databases, and internal systems with high accuracy.

  • Verify and cross-check information for completeness and accuracy.

  • Maintain up-to-date and organized records for easy retrieval and audit readiness.

  • Support report generation for internal use, client meetings, or compliance requirements.

3. Coordination and Internal Communication

  • Assist in coordinating between departments to ensure that work flows smoothly.

  • Support communication by relaying information, documents, and task updates between teams.

  • Maintain calendars, schedule meetings, and send out reminders for appointments or deadlines.

  • Assist in the preparation of meeting materials, minutes, and follow-up reports.

4. Office Operations and Supply Management

  • Monitor and maintain inventory of office supplies, stationery, and basic IT peripherals.

  • Place orders and coordinate with vendors for supply replenishment as needed.

  • Ensure workstations, equipment, and common areas are organized and functional.

  • Support routine maintenance scheduling (printer repairs, phone line checks, etc.).

5. Support for Finance and HR Departments

  • Assist the finance team in handling petty cash logs, invoice tracking, and basic account reconciliation.

  • Support HR tasks such as maintaining employee records, assisting with new hire documentation, and filing leave requests or attendance logs.

  • Help in compiling documents for payroll processing, reimbursements, and internal audits.

6. Filing and Record Keeping

  • Maintain an organized filing system (both physical and digital) for easy access and reference.

  • Ensure confidential records are handled with discretion and stored according to company policy.

  • Archive old records in compliance with company retention policies.

7. Customer and Vendor Support (Back-End)

  • Support customer service representatives by handling internal documentation, logging customer queries, and updating CRM systems.

  • Coordinate with vendors for back-end support tasks such as billing, delivery confirmations, or service requests (not direct negotiation).
