Back Office Assistant
Job Description
Key Responsibilities
Administrative Support

Assist in maintaining and updating company databases, records, and filing systems (both digital and physical).

Prepare and organize documents, reports, spreadsheets, and correspondence.

Support internal teams by gathering data, creating summaries, or compiling reports as requested.

Coordinate with front office staff, accounting, HR, and other departments to ensure operational continuity.

Schedule appointments, internal meetings, or conference room bookings when required.
Data Entry and Processing

Input, verify, and manage large volumes of data with a high degree of accuracy and efficiency.

Review data entries for accuracy and completeness and correct errors when necessary.

Process forms, applications, invoices, purchase orders, or internal documentation following company procedures.

Perform regular backups of essential data and maintain secure document handling practices.
Communication and Coordination

Handle internal communication between departments, forwarding requests, inquiries, or updates.

Liaise with suppliers, clients, or service providers via email or phone for document processing, delivery schedules, or routine coordination.

Prepare email drafts, internal memos, or general correspondence under guidance.
Documentation and Recordkeeping

Maintain accurate records of business transactions, vendor agreements, personnel files, and inventory logs.

Archive old records according to retention policies and ensure timely disposal of outdated files.

Assist in preparing files for audits or compliance checks.
Support to HR or Accounts

Assist with onboarding processes by organizing employee files, checking forms, and scheduling interviews.

Help process employee attendance, leave applications, and basic payroll documentation.

Provide clerical support for invoice processing, expense reports, and bill payments in coordination with the finance team.
Office Supplies and Inventory

Monitor office supply stock and coordinate with procurement for replenishment.

Maintain logs of incoming and outgoing mail, parcels, or deliveries.

Track consumables, office assets, or equipment, ensuring proper documentation.
