Job Summary:
We are looking for a highly organized and detail-oriented Back Office Assistant to support our day-to-day administrative and operational activities. The ideal candidate will play a critical role in ensuring that internal processes run smoothly by managing data, preparing reports, coordinating with various departments, and performing clerical tasks behind the scenes.
The Back Office Assistant will handle a wide range of responsibilities including data entry, file management, customer record maintenance, and general support to ensure that the front office and customer-facing teams are well-supported. This position is crucial to maintaining the accuracy, efficiency, and integrity of business operations.
Key Responsibilities:
1. Data Entry and Record Maintenance
Input accurate data into internal systems and databases.
Maintain and update records such as customer information, invoices, order details, and inventory data.
Perform regular audits of data to identify and correct errors.
2. Document Management
Organize, file, and manage electronic and physical documents for easy retrieval.
Ensure documentation is up-to-date, properly categorized, and securely stored.
Handle the preparation and scanning of documents when required.
3. Reporting and Analysis Support
Prepare reports on inventory, sales, operations, or other business metrics as instructed by supervisors.
Compile data from various sources for presentations or management reviews.
Assist in tracking performance indicators and departmental goals.
4. Communication and Coordination
Act as a point of contact between different departments such as accounts, sales, and logistics.
Follow up with suppliers, vendors, or customers via phone or email as directed by supervisors.
Relay internal communications and assist with scheduling team meetings or conference calls.
5. Office and Administrative Support
Monitor and maintain office supplies and equipment inventory.
Assist in handling office correspondence including incoming and outgoing emails, courier services, and internal memos.
Help with travel arrangements, documentation, or event coordination as needed.
6. Compliance and Confidentiality
Ensure adherence to internal policies, processes, and data protection protocols.
Handle sensitive information with strict confidentiality and professionalism.
Support audits or compliance-related documentation when necessary.
7. Task and Workflow Management
Maintain task lists and follow up on outstanding assignments.
Help streamline back-office processes to enhance overall efficiency.
Support supervisors and team members with any administrative or operational tasks as assigned.
