Back Office Assistant
Job Description
Key Responsibilities:
1. Customer & Vendor Interaction
-
Act as the first point of contact for customers, vendors, and partners through phone, email, or chat.

Respond promptly and professionally to inquiries, issues, or follow-up requests.
-
Build and maintain strong business relationships with existing clients and suppliers.
-
Provide assistance and clarification regarding product details, pricing, payments, and delivery status.
2. Order Processing and Payment Coordination
-
Receive and process customer orders accurately through email, ERP systems, or internal tools.
-
Track the order lifecycle from placement to delivery, coordinating with the logistics or dispatch team.
-
Generate and verify invoices, ensuring alignment with the purchase order and terms.
-
Coordinate with the finance department for payment follow-ups and confirm receipt of payments from clients.
-
Send reminders for outstanding dues and maintain logs of payments received.
3. Administrative & Data Management Support
-
Provide administrative assistance to senior executives and operations teams.
-
Maintain structured filing systems (both digital and paper) for contracts, order forms, customer communications, and reports.

Update client and vendor information in internal systems regularly.
-
Assist with preparation and distribution of internal memos, customer updates, and correspondence.
4. Reports, Documentation & Presentations
-
Prepare and maintain accurate reports, trackers, and logs related to sales, customer accounts, vendor transactions, and inventory status.

Generate daily/weekly/monthly reports in Excel or Google Sheets for sales, delivery schedules, or client performance.
-
Create PowerPoint presentations and summary documents as per team requirements.
-
Assist in generating MIS reports and support data analysis efforts.
5. Follow-ups and Communication
-
Perform regular follow-ups with customers for pending payments, document submissions, or feedback.

Coordinate internally between departments (sales, accounts, dispatch) to ensure client requests are met.

Notify clients about order status, delivery delays, or schedule changes professionally.
-
Maintain a communication log for each client interaction for internal reference.
6. Data Entry and Filing
-
Input and update data into ERP/CRM systems with accuracy and attention to detail.
-
Ensure organized record-keeping for client profiles, invoices, delivery challans, and payment receipts.
-
Scan, photocopy, and upload necessary documents into appropriate folders.
-
Label and organize physical files if required for auditing or review purposes.
