Job Description

Job Summary:

We are looking for a Back Office Assistant who is reliable, detail-oriented, and willing to learn. This role primarily involves maintaining daily worksheets, tracking parcels, updating records, and assisting with basic customer communication. The candidate should have basic computer knowledge, especially in Microsoft Excel, and should be comfortable managing routine tasks efficiently.

Freshers are welcome. Full training will be provided to help the candidate understand every aspect of the job.

Key Responsibilities:

  1. Data Entry and Record Management:

    • Prepare and maintain daily Excel worksheets for operational records.

    • Enter and update parcel information, delivery status, and other relevant details accurately.

    • Maintain organized digital and physical filing systems as per company guidelines.

  2. Parcel Tracking and Coordination:

    • Track the status of dispatched parcels using courier or logistics tracking systems.

    • Maintain a tracker for all incoming and outgoing shipments.

    • Coordinate with logistics partners for timely deliveries and resolve basic issues.

  3. Communication and Customer Support:

    • Communicate with customers regarding parcel delivery updates or queries via phone or email.

    • Provide updates to customers in a polite and professional manner.

    • Inform internal departments about delivery status or client requirements when needed.

  4. Daily Reporting:

    • Submit end-of-day reports summarizing completed tasks, pending shipments, and any exceptions.

    • Report delays, issues, or inconsistencies to the supervisor or manager.

  5. General Back Office Support:

    • Assist with other clerical tasks such as printing documents, preparing invoices, or coordinating with vendors.

    • Support other departments when required, especially during busy periods.

    • Follow up on pending tasks and ensure timelines are met.

Skills and Qualifications:

  • Minimum Education: 10+2 (Higher Secondary). A diploma or bachelor’s degree is an advantage but not mandatory.

  • Computer Skills:

    • Basic knowledge of Microsoft Excel (data entry, filters, basic formulas).

    • Familiarity with email and basic internet usage.

  • Communication Skills:

    • Ability to speak clearly and politely over the phone or via email.

    • Comfortable in handling customer queries.

  • Soft Skills:

    • Attention to detail and accuracy.

    • Willingness to learn and adapt.

    • Basic organizational and time management skills.
