Back Office Assistant
Job Description
Key Responsibilities:

Data Entry and Record Maintenance:

Enter and update data in databases, spreadsheets, or internal software systems with accuracy.

Maintain and organize physical and digital files to ensure quick and easy retrieval.

Regularly review data for errors or inconsistencies and make corrections where needed.

Documentation and Reporting:

Assist in preparing reports, letters, memos, and documentation required by various departments.

File invoices, receipts, correspondence, contracts, and other official documents properly.

Assist with the preparation of internal reports for management and external reports for clients or vendors.

Administrative Support:

Handle incoming and outgoing mail, email correspondence, and internal communication.
-
Schedule meetings, appointments, and organize calendars as needed.

Support various departments such as HR, finance, sales, or procurement with documentation and coordination tasks.

Inventory and Office Supplies Management:
-
Monitor stock levels of office supplies and place orders when necessary.
-
Maintain an inventory record and ensure supplies are distributed to the appropriate departments.

Customer and Vendor Coordination:
-
Liaise with vendors or service providers for quotations, deliveries, and billing support.
-
Follow up on pending documents, service requests, or payments with suppliers or partners.

Support front-office staff in handling customer requests indirectly (e.g., through back-end processing or data verification).

Digital and Paper File Organization:
-
Scan, photocopy, print, and organize documents as per company filing systems.
-
Ensure proper backup of digital records and maintain confidentiality of sensitive information.

Assist in archiving old files and cleaning up outdated records according to company policy.

Compliance and Confidentiality:

Ensure that all administrative activities follow company policies and applicable legal requirements.

Maintain the confidentiality of financial, personal, and proprietary information.

Assist in compiling records and documents for audits and internal reviews.

Support for Finance or HR (if assigned):

Process basic bookkeeping entries, vendor invoices, and expense records.
-
Assist in employee documentation, attendance records, and leave management.
-
Help with onboarding documentation and HR file maintenance.
