Job Opening: Back Office Assistant

Job Overview:

We are looking for a responsible and detail-oriented Back Office Assistant to join our administrative and operations team. The ideal candidate will handle various back-end tasks, such as data entry, documentation, coordination, record-keeping, and support activities to ensure smooth office functioning.

This is a support-focused role, ideal for individuals who are organized, tech-savvy, and efficient at managing paperwork, internal systems, and follow-ups. The Back Office Assistant will work closely with different departments to ensure that internal operations are carried out without delays or errors.

Key Responsibilities:

1. Data Entry and Record Management

  • Enter and update accurate information in company software, spreadsheets, or databases.

  • Maintain records of transactions, clients, vendors, and internal reports.

  • Ensure documents are properly filed—both digitally and in physical folders.

  • Manage and organize sensitive and confidential information with integrity.

2. Document Handling

  • Prepare, scan, photocopy, or print necessary documents as required by different departments.

  • Assist in documentation for business operations like billing, vendor onboarding, payroll support, or HR forms.

  • Ensure all documents are complete and filed in accordance with company policy.

3. Email and Communication Support

  • Respond to internal and external email inquiries professionally and in a timely manner.

  • Coordinate between departments (e.g., sales, accounts, HR) and provide follow-up support.

  • Help in preparing standard communications like acknowledgment emails, status updates, and confirmation letters.

4. Administrative Coordination

  • Provide support to admin or HR staff by handling routine office coordination tasks.

  • Monitor office supplies, equipment, and basic maintenance needs.

  • Maintain daily task logs and assist in scheduling meetings, preparing meeting rooms, or arranging logistics.

5. Reporting and Documentation

  • Generate and compile reports in Excel or Word as per supervisor instructions.

  • Maintain daily, weekly, and monthly logs of activities like client follow-ups, stock reports, or employee attendance.

  • Share updated reports with department heads when required.

6. Filing, Scanning, and Archiving

  • Digitize paper records for archiving in cloud or internal systems.

  • Assist in tracking file locations and retrieving documents on request.

  • Maintain confidentiality of sensitive company files.

7. Payment and Invoice Follow-Up (If Assigned)

  • Coordinate with accounts or billing departments for invoice tracking and dispatch.

  • Maintain logs of payments received or pending (not responsible for direct financial transactions).

  • Follow up with vendors or clients for documentation related to payments.
