Job Summary:
A Back Office Associate plays a critical role in ensuring the smooth functioning of a company’s internal operations. While not customer-facing, this position is essential for the day-to-day support of front-end teams such as sales, customer service, and management. Back Office Associates handle administrative, data management, and operational support duties, contributing to the overall efficiency and productivity of the organization.
This role requires individuals with strong attention to detail, excellent organizational skills, and the ability to work independently while meeting deadlines.
Key Responsibilities:
1. Data Entry and Database Management

Accurately enter and update data in internal databases and systems.

Ensure all information is up-to-date, complete, and error-free.

Retrieve, verify, and process data as required by different departments.

Generate reports and summaries based on collected data for analysis or internal review.
2. Document Handling and Record-Keeping

Maintain and organize both digital and physical records.

Scan, file, and archive important documents securely.

Assist with retrieving records for audits, compliance, or internal reviews.

Ensure confidentiality and privacy of all documentation in line with company policies.
3. Administrative Support

Provide support with preparing internal reports, forms, presentations, and correspondence.

Schedule meetings and coordinate with other departments when required.

Maintain and order office supplies and keep inventory records.

Perform clerical duties such as photocopying, mailing, and organizing files.
4. Communication and Coordination

Liaise with internal departments to support operations and ensure timely task completion.

Respond to queries from internal staff and escalate issues when needed.

Maintain records of communication and follow-ups.
5. Compliance and Quality Control

Ensure internal procedures are followed as per company guidelines and regulations.

Monitor workflows to identify areas for improvement in accuracy or efficiency.

Flag discrepancies, errors, or issues in documentation or data processes.

Participate in quality assurance initiatives or audits when required.
6. Support to Other Teams

Assist the finance team with invoice processing, reconciliation, and account updates.

Support HR with maintaining employee records, onboarding documentation, or timesheet data.

Help customer service or sales teams by preparing client records or internal reference materials.
Required Skills and Qualifications:

Bachelor’s degree in Business Administration, Accounting, or related field.

Proven experience in administrative, clerical, or support roles preferred.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with database management and data entry software.

Strong organizational skills with attention to detail and accuracy.
