Job Description
Key Responsibilities
1. Data Entry and Database Management

Accurately input and update information into spreadsheets, CRM systems, or ERP software.

Maintain and update customer, vendor, and employee databases.

Ensure all records are maintained with confidentiality, accuracy, and in compliance with company policies.

Verify, correct, and cross-check data to minimize errors.
2. Document Handling and Record Keeping

Prepare, scan, and file documents digitally or physically as per standard operating procedures.

Maintain proper filing systems for contracts, invoices, forms, letters, and other office documentation.

Retrieve and provide documentation support to internal teams when required.

Ensure timely archiving and disposal of outdated documents in accordance with policy.
3. Operational Support

Assist various departments (finance, HR, procurement, sales) with backend tasks like invoice processing, report generation, and form filling.

Support the preparation of reports, presentations, and spreadsheets.

Coordinate with logistics or vendors for inventory records and supply chain documentation.

Help in tracking orders, payments, and service records for internal audits.
4. Internal Coordination
-
Liaise with different departments such as IT, Admin, Accounts, or Customer Support to resolve operational issues.

Escalate inconsistencies or process delays to supervisors in a timely manner.

Participate in meetings to understand workflow updates and system changes.

Follow up on pending work assignments and maintain task logs.
5. Compliance and Process Monitoring

Ensure that all work adheres to regulatory and internal compliance guidelines.

Monitor timelines and ensure timely submission of reports or forms.

Support internal audits by providing required information or document access.

Identify opportunities to improve workflow and reduce process bottlenecks.
