Job Description

A Back Office Computer Operator is responsible for managing and executing data entry, documentation, record-keeping, and administrative tasks using computer systems and office software. This role focuses on supporting the organization’s operations from behind the scenes, ensuring accuracy, efficiency, and confidentiality in handling data and information. The position is critical for maintaining smooth internal workflows and ensuring that front-office and operational teams have the data and documents they need to perform their duties effectively.

This role is common across industries such as banking, finance, logistics, manufacturing, healthcare, e-commerce, education, and government services.

Key Responsibilities

1. Data Entry and Documentation

  • Enter, update, and maintain data in company databases, spreadsheets, and management systems.

  • Ensure accuracy and completeness of data records.

  • Prepare, edit, and format documents such as letters, reports, and invoices.

  • Scan, save, and archive important documents for future reference.

2. Record Maintenance

  • Maintain and organize electronic and physical files for easy retrieval.

  • Update client, vendor, and employee records as required.

  • Track and log operational activities for reporting purposes.

3. Reporting and Analysis

  • Generate regular reports (daily, weekly, or monthly) from company databases.

  • Assist in preparing MIS (Management Information System) reports.

  • Review reports for errors and make necessary corrections.

4. Coordination and Support

  • Support the accounts, sales, logistics, or HR department with relevant data and documents.

  • Respond to internal queries regarding information or documentation.

  • Liaise with other departments to ensure timely exchange of information.

5. System Operations

  • Operate various office software applications (MS Office, ERP, CRM, Tally, etc.).

  • Monitor system performance and report any technical issues to IT support.

  • Ensure backup of critical data as per company guidelines.

6. Confidentiality and Compliance

  • Handle sensitive company and customer information with strict confidentiality.

  • Follow data protection laws and company privacy policies.

  • Ensure compliance with internal procedures for documentation and record-keeping.

Skills and Competencies Required

Technical Skills

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and data entry software.

  • Familiarity with accounting or ERP software (Tally, SAP, Zoho, etc.) is a plus.

  • Fast and accurate typing skills (minimum 30–40 words per minute preferred).

Organizational Skills

  • Ability to manage multiple tasks efficiently.

  • Strong attention to detail to ensure accuracy in all data and documentation.

Communication Skills

  • Basic written and verbal communication skills in English and local language.

  • Ability to convey information clearly and concisely to colleagues.

Analytical Skills

  • Ability to review data for trends, errors, or inconsistencies.

  • Basic understanding of data analysis and reporting.
